High-impact role supporting a best-in-state Wealth Management Team Clear development path into senior planning and advisory roles Strong team culture with defined core values, processes and expectations Competitive compensation, benefits, and long-term growth opportunity What you’ll do: Executive Support & Preparation Prepare, organize, and maintain executive materials, client documents to ensure accuracy, completeness, and readiness for meetings and decision-making. Anticipate executive needs by proactively gathering information, coordinating inputs, and ensuring priorities are clearly organized and executed. Support timely execution of proactive client contact and scheduling, projects, and strategic objectives. Proactively engage clients to schedule appointments, gather updated information, support review preparation, and reinforce Capstone Wealth Advisors client experience. Client Support & Retention: Serve as a primary point of contact for internal and external stakeholders, answering phones, greeting clients by managing communications with professionalism, discretion, and responsiveness. Proactively coordinate schedules, meetings, and calendars, ensuring efficient time management and alignment with executive priorities. Reinforce a high-quality executive and organizational experience through polished communication and proactive problem-solving. Meeting Coordination & Follow-Up Coordinate and support executive meetings, including agenda preparation, materials distribution, and logistical arrangements. Attend meetings as needed to capture notes, document key decisions, and track action items. Ensure timely follow-up on commitments, updating systems and stakeholders to support accountability and execution. Administrative & Operational Support Support ongoing administrative tasks including document management, client correspondence, and operational requests. Maintain accurate and consistent information across systems, files, and communication tools. Assist with process optimization and execution of day-to-day operational needs. Collaboration & Communication Work closely with executives, leadership teams, and cross-functional partners to support business priorities and timelines. Communicate effectively across departments to ensure alignment, clarity, and smooth execution of initiatives. Contribute to a collaborative, trusted support environment. Documentation & Compliance Maintain accurate and detailed client files, utilizing timely documentation, workflows, and compliance standards across all client interactions and planning systems and tools. Professional Growth & Development Increase ownership of executive workflows, projects, and stakeholder relationships over time. Develop advanced administrative, organizational, and communication skills to support senior leadership effectively. Progress toward a senior operations leader, registered staff, or financial advisor through demonstrated initiative, capability and obtaining licensing.
