Job Description
Title: Executive Assistant Location: Chevy Chase, MD About Caro Investors: Caro Investors (“Caro”) is a real estate private equity firm headquartered in Maryland. Founded by industry veteran Careina Williams, Caro’s inaugural real estate credit strategy is focused on deploying capital into middle-market private debt investments with underlying commercial real estate exposure in defensive sectors such as multifamily, industrial, retail, and others that Caro believes are resilient. Caro prioritizes securing financial stability for its investors’ underlying constituents, including government workers, teachers, firefighters, foundations, and universities. Role Description: Caro Investors is seeking a highly capable and detail-oriented Executive Assistant to join our core team in Chevy Chase, MD. This role is integral to the smooth operation of our office and investor relations efforts. The successful candidate will join a dedicated team that values strong commitment. Caro embraces an in-office culture, which it believes is vital for building a strong team environment and maximizing collaboration. Training will be provided by the Chief of Staff, Investor Relations lead to ensure a smooth and successful transition. This position will have dual reporting to the CEO and to the Chief of Staff, Investor Relations lead. Responsibilities include: Coordinate all travel logistics for the CEO including flights, accommodations, ground transportation, and itineraries. Collaborate with the Investor Relations Lead to schedule meetings and prepare the office for in-person investor visits including AV setup, catering, and ensuring a professional and welcoming environment. Manage daily office operations including ordering supplies, maintaining inventory, and ensuring the workspace is organized and well-stocked with snacks and beverages. Support basic social media and communications efforts, particularly on LinkedIn, by helping draft posts, coordinate updates, track engagement, and maintain consistency across the firm’s professional presence. Prepare, code, and submit detailed expense reports in a timely and accurate manner. This includes tracking and reconciling receipts, allocating expenses to the appropriate accounts, and maintaining organized records to support monthly and quarterly reporting. A high level of attention to detail and discretion is required as the expense process is in-depth and critical to the firm’s financial operations. Coordinate firmwide monthly events, including team-building activities and volunteer initiatives. Maintain and manage the firm’s conference calendar across investments and capital formation teams, as well as tracking key RFP deadlines to support timely submissions. Oversee and update the firmwide calendar, including holidays, compliance training, IT training, and HR-related deadlines. Assist with editing and formatting marketing materials in PowerPoint and Word, ensuring consistency, accuracy, and adherence to firm branding standards. Draft and edit professional correspondence including letters and internal communications with a high level of attention to tone, clarity, and detail. Support employee onboarding processes. Provide support to the Chief of Staff on various IT and HR functions including coordinating vendors, assisting with internal processes, and helping maintain operational efficiency. Preferred requirements include: Minimum of 3–5 years of experience in an Executive Assistant or senior administrative support role, preferably within finance, investment, or professional services. Demonstrated experience supporting C-level executives with a high degree of confidentiality and professionalism. Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with scheduling and expense reporting tools. Excellent written and verbal communication skills. Outstanding organizational and time management abilities; capable of managing multiple priorities with precision and attention to detail. Self-motivated and proactive with the ability to work independently and as part of a collaborative team. High level of integrity, discretion, and trustworthiness. Comfortable working in a fast-paced, dynamic environment and anticipate needs before they arise. Additional requirements: Must be located in the DMV area and able to work in-office in Chevy Chase, MD. Must sign a Non-Disclosure Agreement. Successful completion of a background check.
