Job Description
We are seeking an exceptionally organized, polished, and high-performing Executive Assistant to support senior leadership in a fast-paced and high-responsibility environment. This role is ideal for someone who thrives under pressure, operates with discretion, and takes pride in executing at an extremely high level. The ideal candidate is proactive, detail-oriented, adaptable, and capable of managing multiple priorities simultaneously while maintaining professionalism and accuracy. This individual must be able to anticipate needs, coordinate moving pieces seamlessly, and confidently handle responsibilities with efficiency and composure. This is not a traditional administrative role. The right person will be highly responsive, solutions-oriented, and comfortable operating in an environment where priorities and schedules may shift quickly. Key Responsibilities Manage and oversee complex and ever-changing executive calendars Coordinate meetings, calls, travel, and scheduling logistics with precision and attention to detail Confirm meeting details in advance Ensure executive is fully prepared with necessary information, materials, and reminders ahead of meetings and events Monitor incoming communications and help prioritize time-sensitive matters Coordinate travel arrangements and related logistics while managing schedule changes as needed Communicate effectively with internal teams and external partners Assist with invoice and expense coordination, approvals, and administrative tracking Handle a wide range of operational, administrative, and special project responsibilities Support event coordination, reservations, gifting, and time-sensitive requests as needed Maintain confidentiality and professionalism in all interactions and responsibilities Qualifications Exceptional organizational and communication skills Strong attention to detail and follow-through Ability to multitask and prioritize effectively in a high-demand environment Professional, polished, and highly dependable Strong sense of urgency while maintaining accuracy Comfortable handling confidential and sensitive information Flexible and adaptable with the ability to pivot quickly when priorities change Tech-savvy and comfortable using scheduling platforms, email systems, spreadsheets, and related software Prior experience supporting executives or senior leadership preferred The Right Person Will Be… Calm under pressure and solutions-oriented Highly resourceful and proactive Able to execute quickly and efficiently Receptive to feedback and eager to improve Professional in all forms of communication Someone who enjoys solving problems Compensation will be competitive and reflective of experience, professionalism, responsiveness, and overall capability.
