Our work includes supporting equitable health services; working to advance safe and affordable housing, pathways to home ownership and broadband access; amplifying the power that exists in our communities through civic engagement; and increasing the effectiveness of small community-based nonprofits. We also support organizations in their practice of race equity, changing narratives and amplifying personal experiences. Health Forward was created in 2003 from the sale of Health Midwest, a nonprofit hospital system, to Hospital Corporation of America (HCA), a for-profit hospital management company. Health Forward’s service area encompasses Kansas City, Missouri, and Jackson, Cass, and Lafayette counties in Missouri, and Johnson, Wyandotte, and Allen counties in Kansas. The foundation is governed by a 21-member board of directors and is managed by a professional staff of around 40 employees. Health Forward is driven by the data evidencing health inequities and is committed to the process and the outcome of equity, inclusion, and anti-racism in our grant and gifts funding, policy and advocacy, community engagement, employment practices, talent management, investments, vendor selection, and governance. The Executive Assistant plays a critical role in providing administrative and governance support to Health Forward Foundation Executive Leadership Team members, particularly the Chief Financial Officer (CFO) and Chief Investments Officer (CIO). This role is responsible for executing a range of administrative and project-based activities including confidential matters with the highest professionalism and discretion. The assistant is the central point of contact for a diverse stakeholder group, including the Board of Directors and Community Advisory Committee (CAC) members, visitors, external partners, and internal colleagues. As a representative of the Foundation’s executive team, the Executive Assistant must demonstrate an advanced ability to discern points of internal and external intersection and opportunity within their work and demonstrate prudence in addressing them. The assistant must maintain a high degree of decorum, internally and in the community. Responsibilities Manage and prioritize all administrative and operational tasks and duties associated with the operations of Executive offices to ensure they are conducted in a professional, thorough, and efficient manner. Such functions include, but are not limited to: Complex calendaring/time management, meeting agenda development, and travel management for executive leadership team and the board of directors upon request Project management (i.e., managing complex logistics, coordinating strategic initiatives, and integrating workstreams from various functional areas) Reporting, analysis, and creating visual presentations Tracking progress on departmental operations, filing expense reports, etc. Document management and records retention compliance. Provide Governance Coordination in support for the Board of Directors, CAC, and respective committees Perform Governance administrative functions (i.e., meeting notices, meeting minutes, doodle polls, communications coordination, and meals coordination, etc.) as requested Complete processes for Governance (i.e., agenda management, meeting material assembly and distribution, etc.) Knowledgeable of governance timeline and tasks required to support Board and Committee activities Ensure all communication is accurate, timely, and demonstrates a high degree of professionalism Communications to the Foundation that need guidance reach the right associate in a timely manner Partner with administrative support colleagues to manage the reception of visitors and represent the organization in a professional and friendly manner Partner with administrative support colleagues to perform general office administrative duties for the Executive Leadership Team and Governance meetings (e.g., assist in meeting set-up, A/V preparation, refreshments, meeting space and kitchen
