Job Description
This role is responsible for delivering high-level administrative and operational support to a group of senior professionals in a fast-paced, deadline-driven environment. The ideal candidate thrives in a dynamic setting, demonstrates exceptional organizational skills, and can manage multiple priorities with professionalism and discretion. Prior exposure to financial services or a corporate banking environment is strongly preferred. Key Responsibilities Provide comprehensive administrative support to multiple senior leaders, including complex calendar management across platforms Coordinate internal and external meetings, events, and conferences (both onsite and offsite), including vendor and venue coordination Coordinate detailed domestic and international travel arrangements, including itineraries and meeting agendas Prepare, format, and edit a variety of professional documents (e.g., presentations, reports, correspondence, and client materials) Manage expense reporting and reconciliation in accordance with company policies using expense management systems Act as a point of contact for inbound communications, managing multiple phone lines with professionalism and efficiency Maintain and update CRM systems, including contact records, activity tracking, pipeline reporting, and distribution lists Proactively manage competing priorities, identify time-sensitive matters, and ensure appropriate follow-up Handle confidential and sensitive information with a high level of discretion Support onboarding activities for new team members Build and maintain strong working relationships with internal stakeholders and external clients Provide additional administrative support and project assistance as needed Qualifications & Skills Proven experience supporting senior-level executives within a financial services, professional services or similar environment Proficiency in Microsoft Office Suite; experience with CRM and expense management tools preferred Strong organizational skills with the ability to manage multiple priorities and deadlines Ability to work independently while contributing to a collaborative team environment Excellent written and verbal communication skills High level of professionalism, discretion, and attention to detail Willingness to travel occasionally (minimal travel required) Compensation & Benefits The targeted salary range for this position is $70-80K Full benefits package (medical, dental, vision) Generous PTO + Paid Holidays Hybrid schedule after training
