Department: School of Business Administration Job Summary: The Executive Assistant to the Dean provides comprehensive administrative and operational support to the Dean of the School of Business Administration (SOBA). This coordinator position serves as the primary point of contact for the Dean's office and plays a central role in ensuring the efficient day-to-day functioning of the school's administrative operations. The successful candidate will demonstrate exceptional organizational skills, sound professional judgment, and the ability to manage competing priorities in a dynamic academic environment. Job Description: The Executive Assistant to the Dean provides comprehensive administrative and operational support to the Dean of the School of Business Administration (SOBA). This coordinator position serves as the primary point of contact for the Dean's office and plays a central role in ensuring the efficient day-to-day functioning of the school's administrative operations. The successful candidate will demonstrate exceptional organizational skills, sound professional judgment, and the ability to manage competing priorities in a dynamic academic environment. Job Responsibilities: Calendar and Travel Management Manage and maintain the Dean's calendar, including scheduling meetings, appointments, and events across internal and external stakeholders Coordinate logistics for domestic and international travel, including itineraries, reservations, and expense reporting Anticipate scheduling conflicts and proactively resolve them with minimal direction Prepare the Dean for daily appointments with relevant background materials and briefings Communications and Correspondence Draft, proofread, and distribute correspondence on behalf of the Dean, including emails, letters, announcements, and memos Screen and prioritize incoming communications, routing items appropriately and flagging time-sensitive matters Serve as the primary point of contact for faculty, staff, students, donors, and external partners contacting the Dean's office Maintain a professional, welcoming presence representing the Dean's office in all interactions Project and Administrative Support Assist in tracking and coordinating dean-level projects, initiatives, and action items across academic and administrative units Prepare agendas, compile supporting materials, and take minutes for leadership meetings Maintain organized filing systems for records, contracts, and institutional documents Support budget tracking and processing of invoices, purchase orders, and reimbursements in coordination with the business office Assist with planning and execution of school events including advisory board meetings, donor engagements, and academic ceremonies Office Operations Ensure the smooth daily operation of the Dean's suite, including supply management and coordination with facilities Onboard and orient visitors to the Dean's office Maintain confidentiality of sensitive personnel, financial, and institutional matters Perform other duties as assigned in support of SOBA's administrative mission Substitution Statement: An equivalent combination of related experience and education may be considered for this role.
