Job Description
Outstanding Healthcare firm is hiring an Executive Coordinator to support the CEO/President, acting as a liaison between the executive, senior leaders, and other internal and external stakeholders. The EC may accompany the executive and capture top priorities, themes, and tasks to keep the executive's work schedule and demands on track and delivered. This role will anticipate, plan, and organize work to optimize the executive’s time with internal and external stakeholders, and support the executive’s daily and longer-term priorities and desired business outcomes. This role partners with the executive’s senior executive assistant to ensure alignment of executive and operational calendars. Responsibilities Partners with the executive to capture, prioritize, and execute daily objectives, ensuring resources are in place. Coordinates project plans and meetings to drive alignment and execution of executive priorities. Supports calendar management by identifying and elevating emerging priorities and time-sensitive matters. Attends key meetings; captures action items, follow-ups, and stakeholder insights. Draft correspondence on behalf of the executive, including meeting follow-ups and event preparation materials. Maintains and leverages contact and network databases to support strategic engagement and outcomes. Research to inform decision-making, including analysis of individuals, organizations, and relevant topics. Prepares reports, memos, and communications in the executive’s voice and style. Monitors business needs and scheduling demands, proactively adjusting as needed. Assists with scheduling and appointment coordination. Oversees select projects and events to ensure timely execution of priorities. Builds and maintains strong relationships with board members, senior leaders, and key stakeholders. Maintains flexibility and availability to support a dynamic and mobile executive. Performs additional duties as needed. Ideal Experience A bachelor’s degree is preferred. 3+ years of experience supporting senior-level executives. Experience in healthcare or other complex, matrixed organizations preferred. Advanced proficiency in Microsoft Office and administrative systems. Demonstrated ability to manage competing priorities and handle highly confidential information with discretion. Strong writing skills, with experience drafting executive-level communications, presentations, and reports. Proven ability to navigate complex organizations and collaborate effectively with executives, executive assistants, and key stakeholders. Strong problem-solving skills, with the ability to analyze information and resolve issues efficiently. Excellent interpersonal, verbal, and written communication skills. High level of integrity, professionalism, and attention to detail. Self-directed with sound judgment; able to manage shifting priorities and perform effectively under pressure. Flexible and responsive to changing demands and workload fluctuations.
