This is a hands-on, execution-driven role accountable for delivering and tracking projects. This role will independently manage multiple site launches from lease execution through go-live, while also supporting day-to-day facilities operations, including service request triage and lease coordination. Success in this role requires strong ownership, urgency, and the ability to manage real-world dependencies such as construction, permitting, and licensure. Responsibilities Include: Coordinate cross-functional stakeholders including Operations, Clinical, Compliance, IT, Legal, landlords, and external vendors to ensure projects are executed on time and aligned with business objectives. Lead the full lifecycle execution of new site openings from lease execution through operational go-live, actively managing timelines associated with construction, permitting, inspections, licensure, operational readiness, and occupancy. Maintain and communicate project schedules, milestone status, operational readiness updates, risks, and escalations to leadership and key stakeholders. Utilize systems such as Jira and Confluence for structured task management, documentation, reporting, and project coordination while supporting transition from legacy systems and workflows. Maintain accurate and organized site, lease, facilities, vendor, and project documentation across company systems. Maintain strong organization and prioritization across multiple active projects, live facilities issues, service requests, lease obligations, and operational deadlines. Identify, manage, and resolve risks, delays, scope issues, and operational obstacles in real time to maintain project momentum and schedule integrity. Coordinate facilities service request intake and resolution activities including triage, prioritization, vendor dispatch, scope identification, follow-up, and closure. Diagnose facilities-related issues, define scopes of work, and coordinate timely, high-quality completion of repairs, maintenance, and operational improvements across multiple locations. Manage relationships with contractors, landlords, consultants, and service providers while holding vendors accountable for responsiveness, quality, execution, and schedule performance. Support project financial coordination activities including proposal collection, vendor quote review, invoice tracking support, tenant improvement coordination, and budget visibility reporting. Track and coordinate lease renewals and critical lease obligations including notice periods, execution timelines, landlord coordination, and partnership with Legal. Support lease administration and legal workflow coordination through systems such as Lexion or similar contract management platforms. Support urgent facilities escalations and operational issues impacting patient care, pharmacy operations, compliance, business continuity, or site readiness. Exercise independent judgment in coordinating priorities, resolving obstacles, escalating critical issues, and driving accountability across active projects and operational initiatives. Promote consistency, organization, accountability, and continuous operational improvement across facilities processes and project execution activities. Schedule: Monday-Friday 8:30am-5pm Requirements: Bachelor’s Degree or equivalent experience in Facilities Management, Construction Management, Project Management, or a related field. 3–5+ years of experience managing facilities, construction, site openings, or multi-site operational projects with direct accountability for execution.
