Job Description
The Fleet Clerk supports the day-to-day administrative and operational needs of Bauer's Transportation's fleet operations.This role is responsible for maintaining accurate fleet records, supporting compliance and documentation, coordinating maintenance logistics, and ensuring efficient communication between the shop, operations, and vendors.The Fleet Clerk plays a critical role in keeping vehicles road-ready, compliant, and properly documented. Key Responsibilities: Fleet Administration: Maintain accurate fleet records including registrations, titles, permits, and compliance documents Track vehicle files and ensure documentation is current and audit-ready Manage digital and physical filing systems for fleet records Support fleet reporting and data entry into maintenance and asset systems Maintenance Support Create and track work-orders in coordination with fleet supervisors and mechanics Assist with scheduling preventive maintenance and inspections Maintain service histories for all fleet vehicles Track repair timelines and ensure documentation is complete Compliance & Regulatory: Monitor expiration dates for: Registrations Permits (CA, DMV, DOT, airport, etc.) Insurance documents Certifications and inspection Assist with CHP, DOT, and airport audit preparation Maintain compliance logs and inspection records Manage and implement all stormwater testing that needs to be implemented throughout the calendar year to ensure that we are in complete compliance. Parts & Vendor Coordination: Assist with purchase order creation and invoice matching Track vendor paperwork and service documentation Support parts receiving and documentation (as needed) Maintain organized records of warranties and vendor service agreements Communication & Coordination: Act as administrative liaison between: Fleet department Operations team Vendors and service providers Provide status updates on vehicle documentation and maintenance records Support dispatch and operations with documentation requests Qualifications Required: 2years administrative experience (fleet, transportation, or automotive preferred) Strong organization and recordkeeping skills High attention to detail and accuracy Proficient in Microsoft Excel, Outlook, and digital filing systems Ability to manage multiple priorities in a fast-paced environment Preferred: Experience in passenger transportation, trucking, or fleet environments Familiarity with California fleet compliance requirements Experience with fleet management software (e.g., Fleetio, TMT, RTA, or similar) Basic knowledge of vehicle maintenance terminology Key Traits for Success: Highly organized and process-driven Reliable and deadline-oriented Detail-obsessed with documentation accuracy Calm under pressure and adaptable Team-oriented with strong communication skills Compensation : $33 - $38 per hour, depending on experience and fleet background Benefits including medical, dental, vision Paid time off 401(k) and matching Growth opportunities within fleet operations Job Type:Full-time Pay:$33.00 - $38.00 per hour Expected hours:40 per week Benefits: 401(k) 401(k) matching Dental insurance Employee assistance program Health insurance Life insurance Paid time off Vision insurance Work Location:In person.
