Job Description
General Description The Dental Front Office Coordinator/Dental Assistant’s primary responsibility is providing exceptional customer service to patients and to work in conjunction with the Dental Office Manager to coordinate the day-to-day activities of the dental front office. These activities include keeping the front office operating efficiently by engineering, monitoring and managing the dental schedule for multiple providers. The Dental Front Office Coordinator/Dental Assistant will also perform all general front office duties for the dental department and help patients understand their treatment needs, treatment options and payment options. In addition to front office coordinating, the Dental Front Office Coordinator/Dental Assistant will provide dental assisting to the dentist in all aspects of dental care delivery, including advanced or specialized dental assistant duties. Responsibilites PRINCIPAL DUTIES AND RESPONSIBILITIES Provide an exceptional patient experience by ensuring that patients are scheduled properly and in a timely fashion. Work in conjunction with the Dental Office Manager to manage day-to-day operations of the front office. Prepare, maintain and monitor schedule for multiple providers. Schedule patients for efficient use of doctor and staff time. Confirm appointments according to protocol and patient preferences. Fill cancelled/rescheduled appointments assuring schedule is full and check the daily schedule for accuracy. Understand dental procedures and dental terminology for proper scheduling and treatment coordinating. Present and explain treatment plans. Assist the patient with establishing a plan for scheduling and prioritizing their treatment plan. Coordinate daily schedule with patient treatment needs and available treatment times. Review and discuss lab fees with patients along with payment options and policies. Obtaining a signed financial agreement to pay and collect payment for lab fees. Verify dental insurance information. Understand insurance benefits to effectively educate patients on their dental benefits and communicate with business department. Verify if patient needs an MD consult or premedication and process it before patient's next appointment. Scan patient forms into dental software and manage document center. Obtains necessary financial, and/or medical updates along with HIPAA forms. Greet and check patients in and out before and after treatment. Answer incoming calls to include: new patient calls, emergencies, requesting records, and follow up. Work closely with clinical staff and other front office staff to assure smooth flow of patient care. Perform general front office duties and other duties as required. Perform clinical dental assistant duties as requested. Performs other duties as assigned. Education Requirements and Qualifications QUALIFICATIONS Minimum high school diploma or equivalent. Minimum of 6months experience in chair-side dental assisting. Must have current Dental Assistant Permit. Must have Radiation Safety, Coronal Polishing and Sealants Certifications. KNOWLEDGE, SKILLS AND ABILITIES: Must be able to follow and apply established office policies and procedures. Must have strong interpersonal and relationship building skills. Must be able to communicate effectively both verbally and written. Must have ability to work front and back areas of dental office. Be capable of working effectively with doctor, staff members, and patients under varying conditions. Must be able to embrace differences among people and able to interact with internal staff as well as external contacts in a culturally competent and respectful manner. Be customer service oriented and able to communicate with a pleasant demeanor at all times. Must possess excellent organizational skills, strong attention to detail, be able to multitask and perform job duties in a timely manner. Must have computer skills; be proficient with Microsoft office software. Experience with Dental Electronic Medical Records software desired. Must have a valid California Driver License.
