Duties Greet visitors, clients, and staff with a warm and professional demeanor, ensuring they feel welcomed and valued Manage multi-line phone systems, directing calls efficiently and providing accurate information or transferring calls as needed Handle all front desk responsibilities including answering inquiries, scheduling appointments, and managing visitor sign-in procedures Maintain organized filing systems, perform data entry tasks, and ensure all documentation is accurate through proofreading and meticulous record-keeping Use office management software such as Microsoft Office, Google Workspace, QuickBooks, and other relevant tools to support administrative functions Support office operations by managing calendars, scheduling meetings, and coordinating appointments for staff or executives Assist with clerical tasks such as photocopying, faxing, mailing, and maintaining supplies to keep the front office running smoothly Qualifications Proven experience in office management or administrative support roles with strong clerical skills Excellent customer service skills with a friendly phone etiquette and professional appearance Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry software Ability to operate multi-line phone systems efficiently and handle high-volume call traffic with ease Bilingual abilities are highly preferred to serve diverse client needs effectively Strong organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment Experience in medical or dental reception is a plus but not required; familiarity with appointment scheduling software is advantageous Knowledge of bookkeeping or QuickBooks is beneficial for handling basic financial transactions or billing tasks Join us as a Front Desk Agent where your enthusiasm fuels our welcoming environment!
