Front Desk Operations Coordinator (Part-Time) – Music School About Us Rockland County’s largest music school, the New City School of Music is a fast-growing, high-energy environment dedicated to helping students of all ages build confidence, creativity, and life skills through music. We take pride in delivering an exceptional customer experience to every family who walks through our doors. We are seeking a highly capable, organized, and personable professional to serve as the hub of our front office and the first point of contact for our students and families . About the Role We are looking for a reliable, polished, and solution-oriented Front Desk Operations Coordinator to manage the day-to-day front office experience. You will be the voice, face, and energy of our school —guiding prospective families, supporting current students, and ensuring our operations run smoothly. This role combines customer service, sales, and administrative responsibilities , and plays a key role in the continued growth of our school. We hold a high standard for professionalism, efficiency, and communication. You are not just answering phones—you are helping families take the first step into a meaningful, long-term experience with music. Schedule & Location Every Saturday: 8:45 AM – 4:30 PM (7.75 hours) Primarily based in New City, NY (Rockland County) Occasional travel to Harrison, NY (Westchester County) as needed Reliable transportation is required Up to 4 Sundays per year for student recitals Compensation $21/hour during training → $23/hour upon completion PTO included Competitive pay for a part-time role with high responsibility Key Responsibilities Front Office Operations Manage scheduling, registrations, payments, and daily administrative tasks Maintain organized and accurate client records Ensure the front desk environment is clean, welcoming, and professional Client Communication & Experience Serve as the first point of contact via phone, text, and email Deliver a warm, professional, and energetic customer experience Communicate clearly with students, families, and teaching staff Client Outreach & Conversion (Sales) Confidently guide prospective families through our programs Convert inquiries into registrations using established processes Follow up on leads and ensure no opportunities fall through the cracks If you dislike sales, this role will not be a fit Team Communication Hub Act as the bridge between families, staff, and instructors Ensure smooth communication and handoffs between team members Retail & Support Tasks Sell basic music supplies at the front desk Assist with general operations including stocking and light cleaning The Ideal Candidate Poised Under Pressure You stay calm, organized, and effective in a fast-paced environment. Technologically Proficient Comfortable with Microsoft Office, Google Workspace, Zoom, and CRM/scheduling systems. Independent & Reliable You can manage your responsibilities without constant oversight and show up consistently.
