Job Description
Job Summary Helps direct, administer and coordinate the operational activities of the Fresno branch in support of policies, goals and objectives. Oversees and manages Fresno staff. Responsible for overall leisure operations including managing a team that books all aspects of travel, supporting Independent Affiliates that are attached to the Fresno branch, supporting any local technology implementation and usage, focus on preferred vendors, and hosting and scheduling vendor appointments. Responsibilities · Directly Manages all staff assigned to branch. Actively supports Independent Affiliates attached to branch Ensures proper staffing and support within office and clearly communicates this to staff to confirm coverage during business hours. Helps create the structure/processes necessary to manage the branch’s operations, including planning for proper staffing levels and recording/monitoring attendance: sick time, vacation/fam time, and all time away from the office. Assists and manages multiple reporting platforms to monitor agent participation and performance: AXUS, Online Leads, and subsequent Profiles/ResCards, Ring Central, etc. Communicates agents’ schedules with appropriate personnel for online lead distribution and/or compiles agents’ schedules and maintains the lead distribution database. Organizes and updates all agent contact information Serves as main resource for agents on various tools (equipment, software and program utilization) including Clientbase, SigNet, Axus, GDS, etc., scheduling training where needed. Manages vendor appointments, communicates upcoming appointments with agents weekly Ensures incoming mail is sorted and routed according to TravelStore procedures. Processes commission checks, making deposits when necessary and forwarding appropriate information to the accounting department* Reconciles monthly AMEX statement in conjunction with accounting and GM. Forwards incoming correspondence from vendors to appropriate agents* Agency administrator for all vendor websites Branch point person for quarterly safety meetings, scheduling and supplying information as needed. Troubleshoots and assists leisure employees with operational problem resolution. Ensures communication flow and appropriate information is shared within the Leisure team and supports a spirit of teamwork. Ensures the paychex requirements are completed in a timely manner. Liaisons with HR department on all personnel issues. Reviews and assists in resolving agent errors: debit memos and bookings errors. Honor Daily Huddle calendar for branch. Assumes and performs other duties and responsibilities not specifically outlined herein, but which are logically and properly inherent to the position.
