Insurance Servicing Assistant - Position Overview PDM Insurance is looking for a highly organized and customer-focused Insurance Servicing Assistant to support our licensed insurance agents with day-to-day administrative and servicing tasks. This position is designed to help keep workflows moving efficiently while allowing agents to focus on advising clients, quoting, and writing business. This is not a licensed sales or customer advisory position. The Insurance Servicing Assistant may assist with administrative processing and follow-up tasks but cannot provide insurance advice, recommendations, coverage interpretations, or discuss policy details unless properly licensed. We are looking for someone who is detail oriented, dependable, willing to learn, and thrives in a fast-paced office environment. ResponsibilitiesAdministrative & Servicing Support Upload and organize documents in Applied Epic Attach and label policy documents, endorsements, and receipts correctly Send pre-approved emails, forms, and requests to clients Request missing signatures and follow up on outstanding paperwork Process ID card requests and send policy documents Assist with policy change processing preparation for licensed agents Prepare renewal review packets and client files Enter and update customer information in agency systems Assist with payment receipt documentation and filing Order office supplies and assist with office organization Assist with scanning, printing, mailing, and document management Help maintain activity/task follow-up lists for agents Customer Service Support Answer incoming phone calls and direct clients appropriately Take detailed messages for licensed agents Schedule appointments and follow-up calls Provide basic status updates such as: “Your documents were received” “Your request has been forwarded to your agent” “Your payment was processed” Assist clients with obtaining already-issued documents such as ID cards or dec pages Important Compliance & Licensing Limitations This role is strictly administrative in nature unless the employee becomes properly licensed. Unlicensed employees may NOT Discuss or explain insurance coverages Recommend policy changes Interpret policies Advise customers on limits or deductibles Provide premium comparisons Bind, change, or cancel coverage Give any insurance guidance or recommendations All insurance-related advice and coverage discussions must be handled by a licensed insurance agent.
