Job Description
JOB The Intake and Assessment Coordinator serves as the primary point of contact for Adult Basic Education (ABE), Adult Secondary Education (ASE), and English as a Second Language (ESL) learners. The position oversees full compliance with all intake, orientation, assessment, and placement requirements under the Maryland Department of Labor (MD Labor) Adult Education & Family Literacy Services Grant. The Coordinator supervises intake and assessment staff, ensures adherence to state assessment policies, and maintains high quality data and documentation to support program performance and grant reporting. EXAMPLE OF DUTIES State Duties Include: •Attend state Intake/Assessment Specialist and professional development meetings•Maintain current knowledge of state assessment policy, placement, and NRS guidelines, and best practices•Informed of current research and best practices in adult education•Participate in technical assistance and implement required updates•Communicate and train local program staff on assessment administration, interpretation, and data-quality expectations of approved assessments•Train and mentor IAS in other local programs upon request.Local Program Duties Include: •Work as a team member with the Program Administrator, the MIS, Intake/Assessment Specialist, and the Instructional Specialists to meet program goals and MD LABOR performance measures•Ensure that the program implements a compliant intake, assessment, placement, and goal-development system that documents all learner goals and literacy level assessments•Train program staff and instructors on assessment policy, data quality, and performance•Implement and monitor the program’s managed enrollment process, including scheduling, waitlist management, and documentation•Promote and support strategies to retain learners•Order, inventory, and ensure the security of assessment materials•Conduct or manage the implementation of orientation, intake, assessment, and placement sessions, and accommodations for learners with disabilities•Administer or manage the implementation of assessments•Develop and coordinate local procedures for assessment and placement of learners into appropriate level classes, including individuals with disabilities•Communicate with learners and instructors/tutors regarding placement, progress, and attendance issues•Identify professional development needs for assessment and intake and coordinate activities to address those needs•Refer learners to support services and/or community resources•Assist with the development and implementation of the program’s Data Quality Plan•Ensure timely, accurate, and complete submission of all intake, assessment, and placement documentation for Registrar and LACES processing.Employment Terms: •Attendance at state-required meetings and trainings must be included in weekly paid hours•No more than 5% of hours may be committed to administrative or LACES functions.•Position requires occasional evening or weekend hours to support info sessions and assessment schedule. SUPPLEMENTAL INFORMATION Most of the job is sedentary, however, occasional periods of light work may be required; Lifting up to approximately 35 lbs. occasionally. The worker may be exposed to primarily to inside office conditions.
