About Score ABA Score ABA is a growing Applied Behavior Analysis (ABA) organization committed to delivering high-quality, ethical, and compassionate services to individuals with autism and related developmental disabilities.We are dedicated to supporting families through every stage of care -- starting with a seamless and supportive intake experience.Position Summary The Intake Specialist serves as the first point of contact for prospective clients and families seeking ABA services at Score ABA.This role is responsible for managing the intake process from initial inquiry through authorization and onboarding coordination.The ideal candidate is organized, empathetic, detail-oriented, and knowledgeable about ABA service processes, and client communication.This position plays a critical role in ensuring families feel supported, informed, and confident from their first interaction with Score ABA.This position requires fluency in both English and Spanish to effectively support and communicate with our diverse client population.Key Responsibilities Client & Family Communication Serve as the primary contact for new client inquiries (phone, email, website referrals).Provide clear and compassionate communication regarding services, eligibility, timelines, and next steps.Collect and document intake information accurately in the CRM/EHR system.Follow up with families to gather required documentation in a timely manner.Intake Process Coordination Coordinate assessments with clinical staff.Ensure all required documentation (diagnostic reports, prescriptions, intake forms) is collected prior to assessment.Track intake progress to ensure timely movement from inquiry to services.Maintain organized and accurate records in accordance with HIPAA guidelines.Internal Collaboration Work closely with Clinical Supervisors, BCBAs, Scheduling, and Billing teams.Communicate case readiness and authorization status.Identify and escalate barriers to service initiation.Administrative & Reporting Maintain intake tracking logs and pipeline reports.Monitor intake KPIs such as conversion rate, time-to-assessment, and time-to-start.Assist in improving intake workflow efficiency and client experience.Core Competencies Compassionate and family-centered communication Strong follow-through and accountability Problem-solving and critical thinking Time management and prioritization Professionalism and confidentiality Process-oriented mindset Work Environment Fast-paced healthcare environment Frequent phone and computer use May involve managing emotionally sensitive conversations with families Why Join Score ABA?
