Job Description Direct Fence, is a trusted and growing company serving customers for over 11 years, is seeking a highly organized, experienced, and detail-oriented Inventory Specialist to join our team in Carlstadt, New Jersey. This role is ideal for a mature professional who takes pride in accuracy, accountability, and being actively involved in day-to-day operations. The Inventory Specialist will support both the accounting and production teams by maintaining accurate inventory records, verifying material costs, reconciling inventory activity, and helping ensure project profitability. This position plays a critical role in aligning purchasing, warehouse operations, production, and accounting across our two Carlstadt locations. We are looking for a candidate with strong inventory experience, solid systems knowledge, and the ability to manage the full inventory cycle. From procurement and sourcing to storage, distribution, and order fulfillment. The ideal candidate is comfortable working with numbers, understands cost controls, and is proficient in QuickBooks, Excel, and Google Sheets. Key Responsibilities Maintain accurate inventory records for materials received, used, transferred, and on hand Record and organize all material transactions by vendor, including domestic and international purchases Maintain and update inventory records in QuickBooks to ensure accuracy across locations Build assemblies in QuickBooks according to production requirements, ensuring all parts, quantities, and measurements are correct Enter bills, purchase orders, and material receipts into QuickBooks in a timely and accurate manner Organize and file material bills, receipts, and purchase orders for accounting records Reverse-engineer project costs using the company’s custom calculator to verify profitability margins Reconcile inventory records and investigate discrepancies to maintain strong internal controls Support process improvements that enhance inventory accuracy and operational efficiency Oversee warehouse distribution activities, ensuring materials handling, shipping, receiving, and order fulfillment are completed accurately and efficiently Help maintain optimal stock levels to support production without overstocking Work closely with accounting, purchasing, and production teams to keep inventory and cost data aligned Qualifications -Previous inventory management, inventory accounting, or materials control experience required -Experience in warehouse, distribution, manufacturing, construction supply, or related operational environments preferred -Strong knowledge of QuickBooks, Microsoft Excel, and Google Sheets required -Solid understanding of inventory reconciliation, item tracking, and materials management -Ability to analyze numbers, identify discrepancies, and solve problems independently -Strong organizational skills with exceptional attention to detail -Ability to manage multiple priorities and maintain accuracy in a fast-paced environment -Professional, dependable, and process-driven approach to work -Experience supporting both accounting and operations teams is strongly preferred -Associate’s or Bachelor’s degree in Accounting, Supply Chain, Business, or related field preferred -Relevant certifications in inventory, supply chain, accounting, or operations are a plus Ideal Candidate The ideal candidate is a seasoned professional who is hands-on, detail-oriented, and confident managing inventory with precision.
