A well-established, multi-billion-dollar asset management firm is seeking an Investment Team Coordinator to provide dedicated support to their Portfolio Manager and analyst teams. This is a highly organized, fast-paced role that sits at the heart of the investment team's daily operations, requiring someone who is proactive, detail-oriented, and comfortable navigating a sophisticated financial environment. About the Role This person will serve as the operational backbone for the investment team, managing calendars, travel, expenses, and a wide range of logistical and administrative needs. Beyond traditional EA-style support, the role has a distinct investment focus, requiring the ability to track market-related events, manage broker and sell-side relationships, and coordinate corporate access activities with precision and timeliness. Key Responsibilities Provide comprehensive day-to-day administrative support to Portfolio Managers and analysts, including calendar management, travel logistics, expense reporting, and visa processing Review individual team calendars daily and weekly to flag conflicts, prioritize meetings, and ensure the team is prepared for the day ahead Track upcoming non-deal roadshows, conference meetings, analyst days, earnings calls, and other investment-related events Track company earnings dates and coordinate post-earnings calls accordingly Maintain and update key contact lists across brokers, sell-side analysts, sales teams, and Investor Relations contacts Schedule and execute corporate access meetings, sell-side analyst meetings, management calls, and expert calls Coordinate conference meeting requests and confirm schedules with the Broker Relations team Handle ad hoc requests for the Broker Relations team including broker subscriptions and resource management Support document management related to financial models, transcriptions, and company presentations Work with Compliance to ensure adherence to firm policies Anticipate the logistical needs of the investment team and act quickly to resolve outstanding action items Ideal Candidate Minimum 2 years of Administrative Assistance experience required and an interest in or exposure to financial services is a strong plus. The ideal candidate is highly organized, resourceful, and thrives in a fast-paced environment where priorities can shift quickly. They bring a bachelor's degree, strong proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel), and ideally some familiarity with Concur.
