Job Description
Receptionist- Briarcliff Job Description: Reports to: Business Office Manager. Position Status: Part-time, weekday evenings 4:30-8:00pm and weekends 8:00am-2:00pm or 2:00pm-8:00pm. Hours of Operation: The hours will be set by the Business Office Manager. Job Summary: Reception’s primary function is to answer inquiries and provide information to the general public, customers, visitors, and other interested parties. In addition, perform administrative support tasks. Essential Functions / Duties: Screen and direct incoming calls and direct them to the appropriate department or staff member; answer inquiries according to facility release of information policies and procedures. Screen all individuals entering the facility and direct them to the proper location, resident or staff member; enforce visitation policies and procedures. Screen employment applications/resumes and route them to the appropriate department head or supervisor. Interact with residents; listen to concerns and relay necessary information to management. Prepare orientation packets and create name tags for new employees. Assist with assembly of payroll information as directed; this includes prepping payroll stubs/checks for distribution along with other information as requested. Work on meal tickets for residents and staff; accept monies for tickets, prepare the meal ticket and post receipt of the monies in the petty cash log, and file the tickets. Accept checks and prepare receipts for checks; access information on computer system to process checks received; scan checks. Follow-up with service providers (i.e. security/fire alarm system, lawn care, etc.) as needed or requested by the Business Office Manager. Order office supplies for the facility and ensure maintenance of the administrative copy machine; maintain other office equipment, such as phone system, fax machines, and postage meter. Make copies and send faxes as requested by staff members. Assist residents in business office center with computers and copiers. Copy and fold weekly activities program booklet. Operate theater DVD player and television. Arrange contact between marketing staff and potential residents/families regarding tours and apartment availability. Coordinate with Valet/Driver for resident requests. Input work orders for repairs. Operate the cash register for the Hy-Vee store; log purchases. Schedule elevator maintenance as needed/required. Unlock/lock front door. Set phone to day/night ring. Meter and mail out packages, letters, and other items requested. Maintain contact with other reception staff members to ensure coverage between shifts. Operate computers programmed with software needed to record, store, and analyze resident information; operate copy/fax/printer machines to send documents and produce documents. Perform other related duties as directed by the Business Office Manager. Education and Experiences: Prior experience in a similar working environment is preferred, but not a requirement of the position. Abilities: The successful candidate will have a poised, professional demeanor, and a positive attitude. They will be resourceful and have the ability to take the initiative in a changing workplace and adapt to varying requirements and needs. Specific abilities include: Ability to understand, observe, and enforce infection control procedures related to facility services. Ability to observe all facility safety policies and procedures. Ability to understand and recognize potential physical, chemical, and electrical hazards and take immediate corrective action as appropriate. Ability to understand and enforce the Exposure Control Plan as this position risks occupational exposure to blood borne pathogens and other infectious material as an essential function of the job. Ability to safeguard the privacy of Residents’ health information. Ability to speak and read English, and follow oral and written directions. Ability to establish and maintain effective working relationships with the public, residents, and staff. Ability to use computers; the ability to use the designated facility computer system (or systems) at a proficient level. Ability to perform other related duties as directed by administration.
