Landscape Commercial Project Coordinator Job Description - Position Summary The Project Coordinator supports the estimating, contracting, and project execution process from pre-bid through closeout.This role is responsible for managing bid documentation, coordinating contract requirements, supporting pre-construction activities, and ensuring smooth post-construction closeout.Key Responsibilities Pre-Bidding Phase Manage and track bid invitations Organize and maintain all bid-related files and documentation Review and compile plans, specifications, scopes, and bid forms Review addenda and ensure all updates are incorporated into bids Perform quantity take-offs using CAD software Request and coordinate vendor quotes, including special-order materials Complete and assemble bid forms and required documentation Request bid bonds as needed Prepare and submit bids in a timely and accurate manner Complete prequalification forms Contract Administration Prepare and issue quotes as requested within internal systems Coordinate review and approval of contracts and change orders Ensure full execution of contracts Request performance bonds and ensure timely delivery to the General Contractor Pre-Construction Phase Prepare and track submittals Print project plans and organize job folders for field crews and project managers Post-Construction Phase Prepare warranty documentation Manage the project closeout process Compile and submit as-built documentation Coordinate maintenance documentation and handover Qualifications Experience in construction administration, estimating, or project coordination preferred Familiarity with CAD Strong organizational and document management skills Ability to manage multiple projects and deadlines Strong communication and coordination skills Job Type:Full-time Pay:$20.00 - $25.00 per hour Benefits:Dental insurance Employee discount Flexible schedule Health insurance Health savings account Professional development assistance Referral program Tuition reimbursement Ability to Commute:Salem, WI 53168 (Required) Ability to Relocate:Salem, WI 53168:Relocate before starting work (Required) Work Location:In person.
