Job Overview We are seeking a dynamic and detail-oriented Legal Receptionist/Administrative Assistant to join our busy law firm. This vital role combines front-desk responsibilities with comprehensive administrative support to our attorneys, ensuring smooth daily operations within a fast-paced legal environment. The ideal candidate will be energetic, highly organized, and possess a strong understanding of legal procedures and document management systems. Your proactive approach will help foster a welcoming atmosphere for clients and visitors while efficiently managing administrative tasks that keep our legal team functioning at peak performance. Duties Greet clients, visitors, and vendors with professionalism and courtesy, providing excellent phone etiquette and ensuring a positive first impression Manage incoming calls, direct inquiries appropriately, and handle message taking with clarity and precision Maintain and organize legal files, documents, and case records using document management systems such as SmokeBall and Microsoft Assist with legal research using Westlaw, LexisNexis, and other research tools to support attorneys’ case preparation Support attorneys with drafting, proofreading, and editing legal documents including contracts, pleadings, and correspondence Coordinate appointments, meetings, and court filings while ensuring compliance with deadlines and procedural requirements Perform data entry, filing, and general clerical tasks to keep the office running smoothly Conduct document review and assist with project management tasks related to various areas of law including estate planning, probate, family law, civil litigation, and more Skills Proven experience in legal administrative support or as a paralegal with familiarity in multiple practice areas such as estate planning, probate, family law, real estate, personal injury law, landlord-tenant law, or civil litigation Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Excellent written and verbal communication skills for drafting legal documents and interacting professionally with clients and team members Proficiency in legal research tools like Westlaw or LexisNexis along with legal document management systems Experience with legal case management software including SmokeBall or similar platforms Ability to perform detailed proofreading and transcription to ensure accuracy in all legal documentation Knowledge of legal procedures related to filing court documents and maintaining confidentiality standards Exceptional phone etiquette combined with strong organizational skills to manage multiple priorities seamlessly Join us in this exciting role where your organizational prowess combined with your passion for the legal field will make a meaningful impact.
