JOB The County Attorney’s office is seeking a qualified legal scretary to provide clerical, administrative legal and court related support for the County Attorney's Office. Thisis a full-time, on-site position with a 40 hour work week. Employees in this class perform a variety of technical, clerical, and administrative legal and court-related support functionss. This position generally requires that employees handle day-to-day operations such as information processing and referral. Clerical duties are much stronger than the Office Assistant in variety, complexity, and independenceand requires more self-initiative in activities. Unusual situations may be referred to others for guidance; however, guides are readily available. Guides may include a variety of written manuals and instructions, as well as oral instructions. Some judgment is required in selecting and applying the appropriate guide; deviations from established procedures are referred to others. Work is performed under the supervision of the Legal Services Administrator and is evaluated through observation and the quality and effectiveness of work completed. EXAMPLE OF DUTIES Serves as clerical, data entry, or other administrative support for departmental functions and services and/or for an assigned attorney; screens calls and inquiries; secure and provide information, while maintaining confidentiality.Receives and greets visitors; gives information concerning visitors' needs; may handle requests independently.Secures information via telephone or personal contact; selects appropriate materials to answer questions; may process mail for the unit, including certified mail; may handle confidential items and/or material.Makes appointments and coordinates arrangements for meetings and conferences; may coordinate compilation of materials, agenda items, and data for meetings or appointments.Inputs data into automated systems for the department; generates records, reports, bills and/or other departmental requirements from the data; verifies and edits data, as needed.Operates a word processor to generate correspondence, memoranda, notes, minutes, reports or other materials; reviews work for compliance with instructions, spelling, punctuation and basic grammar; proofreads final copies of materials.Requisitions supplies and materials for the Department, as requested.Reviews and verifies records and reports for correct information; processes documents based on review and verification; files and retrieves materials based on limited information and performs periodic follow-up activities.Screens and routes materials according to content of communications.Maintains activity records and files; initiates appropriate follow-up or further action based on the status of office activity; and maintains confidentiality.Performs other directly related duties consistent with the role and function of the classi?cation. SUPPLEMENTAL INFORMATION Graduation from high school or GED.At least one (1) year of legal secretarial, administrative assistant, or related experience; orAny combination of experience and training which provides the equivalent scope of knowledge, skills, and abilities necessary to perform the work.
