Position Summary Our client is seeking an experienced Legal Administrative Assistant to provide high-level administrative and litigation support to attorneys and paralegals in a fast paced law firm environment. The ideal candidate will be comfortable independently managing multiple tasks, ensuring the seamless execution of legal operations, and providing support as needed. Key Responsibilities Format, edit, and finalize documents, including correspondence, memoranda, and standard legal documents, in accordance with the Firm's formatting standards using legal-specific software Manage multiple attorney assignments and organize workflow to meet administrative and attorney needs Enter, proofread, and post attorneys' time entries in compliance with Firm timekeeping policies Coordinate travel arrangements, including air, hotel, and ground transportation Process and monitor expense reports, reimbursements, expert invoices, and check requests Utilize audio/video platforms (e.g., Zoom, Teams) to schedule and manage meetings Coordinate conferences, meetings, and appointments (in-person and virtual), including conference rooms and catering per Firm procedures Handle complex, confidential, and time-sensitive information with discretion and accuracy Partner with the File Records team to create, review, and maintain electronic case files Perform additional administrative duties as assigned Qualifications & Experience High school diploma or equivalent required; associate's degree preferred. Minimum of 3 years of legal experience in a litigation environment, with a solid understanding of legal terminology. Ability to prepare Tables of Contents (TOC) and Tables of Authorities (TOA) in compliance with court requirements Familiarity with Federal District Courts rules and filing procedures Proficiency in Microsoft Office Suite (Word, Outlook, Excel) in a Windows environment Experience with document management systems (e.g., NetDocuments or similar), including strong document organization practices Strong time management skills with the ability to support four or more attorneys Excellent verbal and written communication skills Ability to maintain confidentiality and exercise sound discretion Proactive, self-motivated, and able to work independently Reliable with strong punctuality and attendance Trial and deposition preparation experience
