Job Description
Office Administrator - Manufacturing Plant We are seeking a versatile, high-energy Plant Office Administrator to serve as the operational "glue" of our manufacturing facility. This isn’t a typical desk job; you will be the first point of contact for the plant, balancing traditional receptionist duties with critical back-office functions like purchasing, accounts payable, inventory tracking, customer service/order entry, and shipping logistics coordination. The ideal candidate thrives in a fast-paced light industrial environment, possesses sharp attention to detail and desires a long term opportunity to grow and learn with the company. GUIDE TO THE POSITION – DUTIES, RESPONSIBILITIES: Office Coordination and Reception - Act as a professional face of the plant with visitors while managing calls, organizing and filing paperwork and handling any day to day issues. Purchasing and Accounts Payable - Tracking inventory and placing orders for plant materials and office supplies while matching vendor invoices with packing slips to resolving price, quality or quantity discrepancies. Time Clock and Payroll Oversight - Monitor daily employee attendance and time clock punches. Reconcile hours, track PTO requests, prepare new employee paperwork, and compile biweekly reports for payroll. Customer Order and Shipping Logistics - Prepare shipping documents and Bills of Lading for customer orders and work with logistics providers to identify the most cost effective means for delivery of our products. REPORTING RELATIONSHIPS: Reports to: Plant Manager and President SPECIFICATIONS OF THE POSITION Working conditions: Heated and air conditioned main office adjacent to manufacturing floor where there will be some noise. The candidate will often walk the plant floor to verify inventory, shipments, and interact with the plant manager. Work Schedule: 8 hours/day, 5 days per week (M-F) - 8am - 4pm. No nights or weekends. APPLICANT REQUIREMENTS ** Minimum education: College Degree Preferred, High School Degree Required ** 1-2 Years Office Experience in a Manufacturing Facility Required (ideal candidate is a prior factory office assistant ready to be fully in charge of an office) ** Proficiency Required with Microsoft Office Suite - especially excel. Experience with Quickbooks is a plus. ** Experience with accounts payable/receivable, inventory tracking and FTL/LTL shipping logistics required. ** Applicant must be able to comfortably move around the production floor avoiding forklifts, equipment, production work and any other hazards. ** Applicant must have great attention to detail, is exceptionally organized, has strong math skills and is constantly aware of surroundings ** Applicant must be able to work 40 hours per week ** Applicant must really want to learn and be part of an organization where a good attitude and strong work ethic will lead to limitless opportunties. ** English language required, Spanish language helpful Job Type: Full-time Pay: $17.00 - $21.00 per hour Benefits Paid time off Education: High school or equivalent (Required) Experience: factory office administration: 1 year (Preferred) Work Location: In person
