WHO WE ARE The Winslow Group is a top-producing luxury real estate team with Coldwell Banker Schmidt, operating across Petoskey, Harbor Springs, Charlevoix, Boyne City, and the broader Northern Michigan market. We closed over $52M in volume in 2025 and are actively moving up-market into the luxury segment. We run a small, high-trust, high-output team. Everyone here carries real responsibility and works with a high degree of autonomy. We are not looking for someone to fill a seat. We are looking for someone who takes ownership, thinks ahead, and keeps things moving. THE ROLE This is a hybrid marketing and operations role that touches nearly everything except agent negotiations and transaction coordination. You will be the engine behind our listing launches, buyer materials, digital presence, and day-to-day operational systems. This role is physically in-office and built for someone who thrives on variety, owns their work, and can move between creative and logistical tasks without losing momentum. WHAT YOU'LL DO Marketing & Content Design and produce listing packages, buyer packages, showing materials, and property brochures Create and schedule social media content across Instagram, Facebook, and YouTube Write and distribute email campaigns, market updates, and database communications Manage property photography coordination and ensure brand-consistent presentation of all listings Maintain a consistent visual brand across all touchpoints Support luxury listing launches including pre-marketing, coming soon, and launch-day execution Operations & Systems Own and manage our CRM -- keeping contacts, tags, and pipelines clean and current Build and maintain automation workflows (Zapier) that connect our CRM, listing platforms, and communication tools Keep our transaction tracking system current and flag anything that needs attention Manage incoming leads, form submissions, and routing so nothing falls through the cracks Execute lead follow-up tasks within the CRM including outreach sequences, reminders, and pipeline updates Oversee the operational calendar including listing timelines, event prep, and team deadlines Handle vendor coordination for photography, staging, signage, print, and other listing services Administrative & Physical Support Write and mail handwritten notes to clients, prospects, and sphere contacts Prepare and mail pre-listing appointment packages Prepare physical listing packages, showing folders, and closing gifts Support open house preparation including materials, signage coordination, and setup logistics Run local errands related to listings, events, and office operations as needed Maintain an organized office environment and manage supplies and vendor relationships WHAT THIS ROLE IS NOT To be clear about scope: this role does not include agent negotiations, contract writing, or transaction coordination. Those responsibilities are handled separately. You are the force behind everything that makes us look great and run smoothly -- not the person managing closings. WHO YOU ARE You are highly organized and self-directed -- you do not need to be managed closely to stay on top of things You are comfortable with technology and genuinely curious about using AI tools, automation, and CRM systems to do work better You have an eye for design and care about how things look and feel, not just whether they are done You write clearly and adapt your tone -- a market update email does not sound like an Instagram caption You can handle multiple active projects at once without dropping details You show up physically present and engaged, not remote and disconnected You take ownership. If something looks wrong, you fix it or flag it -- you do not wait to be asked Real estate experience is a plus, not a requirement.
