Position Summary The Marketing Traffic Coordinator serves as the operational hub of the Sound Income Group marketing department, managing the flow of projects from intake through final delivery. This role converts incoming requests into clear briefs, timelines, and actionable project plans while ensuring work moves efficiently across the marketing team. Working across an 18-person team spanning creative, digital, video, copy, web, and client success functions, the coordinator oversees workflow, prioritization, and project coordination across multiple initiatives. Success in this role comes from creating structure, maintaining visibility into timelines and team capacity, and removing bottlenecks so the team can deliver high-quality work consistently and on schedule. Key Responsibilities Traffic Management & Workflow Ownership Own the daily trafficking of work across the in-house creative and marketing team, including graphic design, copywriting, video production, digital, web, and content. Review incoming project requests, clarify scope, gather requirements, and ensure projects are properly briefed prior to execution. Evaluate urgency, complexity, dependencies, and team capacity to prioritize work across multiple concurrent projects. Assign tasks based on timelines, team expertise, availability, and business priorities. Lead daily and weekly traffic reviews to identify risks, resolve bottlenecks, and maintain forward progress on all initiatives. Monitor project status and proactively adjust timelines, assignments, and priorities as business needs evolve. Identify and manage compliance routing requirements, ensuring regulated materials follow the correct review process. Project Management Develop and manage end-to-end project plans from intake through delivery for marketing campaigns, advisor-facing collateral, video productions, events, vendor-supported initiatives, and special projects. Define scope, milestones, deliverables, owners, dependencies, and deadlines within ClickUp. Coordinate cross-functional collaboration between internal stakeholders, creative teams, vendors, and leadership. Facilitate project kickoffs, status meetings, reviews, and follow-ups with clear next steps and accountability. Monitor project health, flag risks early, and escalate issues to leadership when necessary. Ensure projects remain aligned with business priorities while protecting quality and team capacity. Process Creation & Continuous Improvement Own the marketing department’s ClickUp workspace, including templates, automations, status flows, intake forms, and reporting dashboards. Design and refine workflows, intake processes, prioritization frameworks, approval paths, and handoff procedures. Develop standardized templates for recurring project types such as campaigns, events, video production, and advisor marketing collateral. Identify inefficiencies or workflow gaps and implement improvements that enhance speed, clarity, and consistency. Maintain and enhance dashboards, trackers, and reporting tools to support project visibility and performance. Stakeholder Communication & Relationship Management Serve as the primary coordination point for project communication across the marketing team, other internal departments, vendors, and advisor partners. Set clear expectations regarding timelines, scope, dependencies, revisions, and delivery schedules. Build collaborative working relationships with creative teams, compliance reviewers, department leaders, external vendors, and financial advisors. Translate incomplete or ambiguous requests into actionable project plans. Represent the marketing department professionally in all cross-departmental and external communications.
