Job Description
We are looking for a highly motivated person who can multi-task and prioritize workload responsibilities.The primary responsibility of this position is answering a busy telephone, scheduling appointments for a variety of visit types, and providing customer service to our clients.Scheduling appointments will be accomplished through the Agency's EHR system by use of a personal computer to access the system and achieve a smooth consumer flow for the service provider and consumer.This is a very high-paced position and prior experience using the Credible Electronic Scheduling Program is preferred.A minimum of two years of continuous experience working in a psychiatric clinic and/or outpatient setting is also required.ESSENTIAL JOB FUNCTIONS:Must maintain and update daily schedules for all mental health professionals, including nursing staff and psychiatrists.The schedules for the paraprofessional staff will be entered on the computer on a weekly basis by the Appointment Secretary.Familiarity with Agency visit types, staff credentialed to perform each visit type, and length of time attached to each visit.This process will be accomplished incorporating established Agency procedures as relates to appointment scheduling and/or re-scheduling.Addresses envelopes and mails appointment slips to consumers who have scheduled appointments by telephone.Attention to detail to assure accuracy in scheduling and proper recording of information, since the core of the scheduling system revolves around the duties of this position.Excellent communication skills required and the ability to relate with visitors and consumers in a warm, friendly, and understanding manner, being prepared to listen and talk with people who may be disturbed, violent, or upset.Able to work in fast-paced work environment, with ability to switch back and forth between duties of scheduling by phone and accommodating those persons in the Center who need to reschedule appointments or other assistance.Job duties for this position require the person to remain in the building at their work location until the last consumer leaves the building.KNOWLEDGE, SKILLS AND ABILITIES:Ability to operate personal computer and printer, or at least possess the skills to learn the system.Familiarity with computer terminology is desired.Must be able to work well with the public, since the person filling this position may be one of the first Agency personnel with whom contact is established.The person must be a team player and able to get along with co-workers and project a positive image and impression to the consumers.EDUCATION AND Experience:High school graduate or equivalent.At least Two (2) years of continuous experience as a medical receptionist or appointment secretary is required to establish experience; preferably in a psychiatric or behavioral health outpatient setting.Experience working with the Credible EHR program is preferred.Other desired skills include telemarketing skills or public relations experience.Job Type:Full-time Benefits:Dental insurance Flexible spending account Health insurance Life insurance Paid time off Work Location:In person.
