Job Description
Job Summary We are seeking a dedicated and detail-oriented Medical Office Assistant to join our healthcare team. In this vital role, you will serve as the first point of contact for patients and visitors, providing exceptional administrative support to ensure smooth clinic operations. Your expertise in medical administrative tasks, familiarity with electronic health record (EHR) systems, and strong communication skills will help facilitate efficient patient care and office management. Responsibilities Greet patients and visitors warmly, ensuring a positive first impression and smooth check-in process Manage appointment scheduling using Jane EHR software Verify patient insurance coverage and perform insurance eligibility and benefits verification Prepare and review medical documentation, clinical documents, and billing information Handle medical billing and coding tasks, including CPT, ICD-9, ICD-10 coding, ensuring accurate submission for insurers Maintain patient records by managing medical records securely in compliance with HIPAA regulations Manage phone calls and text messaging while practicing professional phone etiquette Support front desk operations by managing patient intake, appointment reminders, and answering inquiries efficiently Conduct insurance verification processes and follow up on outstanding claims or billing issues Input and scrutinize payment details in their appropriate claim file by date of service Support clinic staff with administrative duties including filing, faxing, scanning and copying documents, and managing office supplies Maintain patient flow to help keep clinic on schedule Assist with keeping office tidy; light cleaning duties Changeover rooms as patients finish, clean and prepare rooms to enable fast turnaround during busy clinic hours Qualifications Proven experience as a Medical Office Assistant or in a similar healthcare administrative role with chiropractic/physical therapy/acupuncture experience preferred Strong knowledge of medical terminology, ICD coding (ICD-9/ICD-10), CPT coding, and medical billing procedures Familiarity with any EMR/EHR system is highly desirable Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel) and typing skills (10 key typing) Ability to handle sensitive health information in compliance with HIPAA standards Exceptional customer service skills with the ability to communicate effectively in a healthcare setting Strong organizational skills with attention to detail for documentation review and office management tasks Previous experience working in an acupuncture, chiropractic, or physical therapy environment is a plus Professional demeanor combined with excellent phone etiquette and multi-tasking abilities Join us to be part of a vibrant healthcare team committed to delivering compassionate patient care through efficient office management.
