Job Overview Our personal injury law firm is seeking a detail-oriented and organized Medical Records & Billing Specialist to support the efficient handling of client cases. This role is responsible for requesting, tracking, reviewing, and organizing medical records and billing documentation related to personal injury claims. The ideal candidate is proactive, highly organized, comfortable communicating with medical providers, and able to manage multiple deadlines in a fast-paced environment. Bilingual candidates are a plus, but are not required for this role. Key Responsibilities Request, track, and follow up on medical records and billing from healthcare providers Audit incoming medical records and bills to identify missing facilities, documentation, or billing information Review records for discrepancies, including dates of service, client information, and treatment details Confirm whether clients were referred to additional medical providers and document findings accordingly Organize, label, categorize, and upload records into the case management system accurately Enter medical bills, records, and expenses into Filevine and maintain accurate reporting data Process and track invoices related to medical records and billing requests Maintain accurate documentation of expenses and credit card usage Communicate with medical providers regarding requests, delays, missing documentation, and portal issues Troubleshoot medical records portal issues, including ChartSwap, MRO, and similar systems Verify HIPAA authorizations for accuracy and ensure records are sent to the appropriate locations Consistently follow up with providers until all requested documentation is received Monitor cases for approaching statutes of limitations and promptly notify the team of urgent deadlines Support case managers by providing updates on record request statuses and flagging issues that may impact case progression or settlement timelines Maintain accurate provider contact information and identify alternative contacts when providers are unresponsive Ensure all records are complete and properly stored before marking requests as fulfilled Maintain confidentiality and compliance with HIPAA regulations and firm procedures Qualifications 36 months of administrative support, data entry, medical records, or related experience preferred Comfortable speaking with medical providers and external contacts by phone Familiarity with Filevine, case management systems (CMS), or similar platforms preferred Ability to handle escalations professionally and resolve concerns with urgency and diplomacy Bilingual skills are a plus, but not required Benefits 401(k) with 4% employer match Health, dental, and vision insurance Paid time off Paid holidays All candidates will be subject to a background check to be considered for employment.
