Job Description: Medical Secretary & Surgery Coordinator A Medical Secretary at a surgical center is a multifaceted role that serves as the primary liaison between patients, surgical teams, and insurance providers. This position is responsible for ensuring the efficient flow of the facility by managing patient registration, coordinating complex surgical schedules, and providing high-level administrative support. The ideal candidate thrives in a fast-paced environment, maintains strict confidentiality under HIPAA guidelines, and delivers compassionate customer service. Primary Responsibilities 1. Patient Registration & Front Office Operations Greeting & Intake : Serve as the first point of contact, greeting patients and visitors in a professional manner. Data Entry : Collect and verify accurate patient demographic, medical history, and insurance information during the intake process. Check-In/Check-Out : Manage daily patient flow, including verifying signatures on required documentation and collecting co-pays or deductibles. Records Management : Maintain and update electronic medical records (EMR), ensuring all labs, clearances, and physician orders are scanned and organized. 2. Surgery Scheduling & Coordination Procedure Scheduling : Coordinate and maintain the surgical calendar for multiple surgeons, ensuring optimal utilization of operating rooms and resources. Patient Education : Provide detailed pre-operative instructions, including fasting guidelines, medication restrictions, and arrival times. Ancillary Scheduling : Arrange pre-admission testing, history and physical (H&P) appointments, and necessary diagnostic studies or imaging. Resource Coordination : Collaborate with vendors and clinical staff to ensure specific surgical equipment or supplies are available for scheduled procedures. 3. Insurance & Financial Coordination Authorizations : Obtain prior authorizations for surgeries and related procedures (e.g., MRIs) from insurance companies. Eligibility Verification : Confirm insurance coverage and serve as a liaison between the patient and the insurer to resolve billing or authorization issues. Financial Tracking : Monitor payment status and assist with daily surgical charges or billing data entry. 4. Administrative Support Communication : Manage high-volume multi-line phone systems, directing calls and handling patient inquiries regarding their surgery or recovery. Correspondence : Prepare and distribute surgical logs, reports, and memos to the appropriate departments. Office Maintenance : Monitor office and medical supplies, placing orders as necessary to ensure uninterrupted operations. Required Skills & Qualifications Education : High School Diploma or equivalent; additional training in Medical Administration is preferred. Technical Proficiency : Experience with Electronic Health Records (EHR) and scheduling software (e.g., ORSOS, Microsoft Office). Medical Knowledge : Strong understanding of medical terminology, billing codes, and HIPAA privacy regulations.
