Reports to: Executive Assistant / General Manager Classification: Education and/or Experience Undergraduate college degree with a business major or minor. Experience as administrative assistant. Two to three years of club or hospitality industry experience. Job Knowledge, Core Competencies and Expectations Anticipates the needs of both the Executive Assistant and General Manager by maintaining a high level of organization, preparedness, and a strong sense of urgency. Demonstrates sound analytical ability, attention to detail, and effective organizational and project management skills. Possesses strong interpersonal skills, with the ability to communicate clearly and professionally both verbally and in writing. Maintains an understanding of club protocols and is prepared to support operations appropriately in emergency situations. Job Summary (Essential Functions) Provide administrative support services to the Executive Assistant and General Manager. Perform general office tasks. Job Tasks/Duties Prepares menus, banquet event orders and contracts and other items for the Executive Assistant, General Manager and F&B Management. Performs general office tasks not limited to word processing to assist the General Manager. Performs Hostess duties when needed for member dining and events. Maintains general correspondence with membership event requests. Able to confidently guide members through Jonas app and website demonstrating features and functionality. Receives and screens visitors. Assists the Executive Assistant and General Manager with appointments. Answers the telephone; acts as a receptionist when necessary; assists with members’ inquiries and provides information about member events, special functions, etc. Takes reservations for club outlets and events as necessary. Prepares documents for General Manager’s meetings; assists in tasks related to menus, invitations, announcements, signs and other materials. Maintains the office area to keep it neat and tidy. Performs other ad hoc duties as assigned by the Executive Assistant and General Manager Licenses and Special Requirements Physical Demands and Work Environment Must be able to reach, bend, stoop, stand and lift up to 40 pounds. Must be able to sit for prolonged periods of time.
