Milk & Cream Reconciliation Specialist Position Summary The Milk & Cream Reconciliation Specialist is responsible for the accurate tracking, reconciliation, and maintenance of all milk and cream manifest data from producers to processing plants. This role ensures that every load is fully accounted for, correctly recorded across multiple systems, and properly supported by physical documentation. The position plays a critical role in supporting the producer payment process, serving as a key control point between field operations, accounting, and settlement. Success in this role requires exceptional attention to detail, strong organizational skills, and the ability to process and reconcile a high volume of paper tags and manifests while cross checking data across systems and correcting errors in a timely manner. Key Responsibilities Manifest Processing, Reconciliation & Record Keeping Receive, sort, organize, and file high volumes of paper milk and cream tags and manifests. Review all incoming milk and cream loads to ensure completeness and accuracy of documentation. Enter, import, and reconcile manifest data into internal milk accounting (Milk Moovement) and Sage ERP systems. Cross check key data points (producer, load number, date, gross/net weights, delivery plant, sample ID, route) between paper documents and multiple systems. Identify, investigate, and correct discrepancies related to weights, missing loads, duplicate entries, rejected loads, or incorrect data. Maintain supporting documentation and backup files for all data corrections. Load Accountability & Controls Ensure all scheduled and received loads are accounted for and properly recorded. Track missing, rejected, dumped, or adjusted loads and follow up with operations, haulers, plants, or producers as needed. Support daily, weekly, mid month, and month end balancing of producer, plant, and system totals. Producer Payment Support Provide accurate, validated manifest data to support producer payments. Participate in producer weight audits and reconciliation reviews during settlement cycles. Respond to internal questions related to producer loads, weights, or adjustments. Cross Functional Collaboration Communicate effectively with milk accounting, finance, operations, dispatch, quality, and plant personnel. Work with haulers, producers, and internal teams to resolve manifest and load issues. Escalate recurring issues or control gaps with clear documentation and recommendations. Perform other related duties as assigned. Education & Technical Skills Associate’s or Bachelor’s degree in Accounting, Agriculture, Business, or related field preferred. Relevant work experience may be substituted for formal education. 1 to 3 years of experience in reconciliation, accounting support, milk accounting, logistics, or data intensive office roles. Experience working with high volumes of paper documentation and detailed data entry strongly preferred. Intermediate proficiency in Microsoft Excel and other MS Office applications. Experience working in ERP (Sage desired) and milk accounting systems (Milk Moovement desired). Strong data review, comparison, and correction skills. Work Environment / Additional Requirements This position may require extended hours during peak settlement or close periods. Duties are primarily office based with significant desk and computer work. Handling and sorting of physical paper documents is a core, ongoing responsibility.
