Position Summary The Ministry Coordinator provides administrative and logistical support for key ministry initiatives and church communications. This role ensures ministry events, programs, and communication efforts are executed with excellence and consistency. Key Responsibilities Thursday Night Meal Coordination Plan and oversee weekly Thursday Night Service Dinner. Develop menus and coordinate food ordering. Recruit, schedule, and support Food Service Team and Setup/Teardown volunteers. Pathway & Ministry Opportunity Coordination Coordinate administrative and logistical details for Pathway Opportunities, incl. Lunch with the Leaders, Baptisms, Foundations, and Rooted. Order food, coordinate room setup/cleanup, and prepare materials such as name tags, handouts, and supplies. Communicate with guests by sending invitations, confirmations, and follow-up communication. Provide attendance summaries and updates to staff. Schedule and communicate with volunteers and Lead Team members supporting these initiatives. Update website and registration forms with upcoming Pathway opportunities. Coordinate seasonal Groups Launch promotion materials and database updates. Communicate with Events Coordinator regarding building reservations for Pathway Groups, Events, and related ministry opportunities. Provide administrative coordination for churchwide initiatives and special events (e.g., Serve Drives, One-Aware events, and other seasonal events). Maintain and update internal ministry and staff calendar, including tracking Church Operating System timelines. Churchwide Communication Coordinate content for the Weekly Churchwide Email Update by collaborating with staff and volunteers. Compile, format, and distribute the Weekly Email and seasonal Building User Emails. Coordinate quarterly Magazine production timelines by managing printer deadlines, collecting and coordinating articles with staff, and arranging Magazine pickup. Merch Store Coordination Collaborate with Merch Store contractor to plan product launches and maintain project timelines. Partner in product development by assisting in selection of items, coordinating sample orders, and finalizing designs, colors, and layouts in collaboration with designer and staff. Work with Events Coordinator and contractor to establish product pricing. Plan and execute merchandise photo shoots, including scheduling photographer, coordinating models, and managing setup and teardown. Seasonally update Shopify store product listings, photos, and pricing. Data & Reporting Management Facilitate trimester reporting by collecting and organizing key ministry metrics (Serving, Groups, Partnership, etc.). Prepare and maintain attendance tracking systems. Perform database maintenance and data cleanup as needed. Office Support Monitor and respond to the general church email account and voicemail system, ensuring timely and helpful communication or appropriate staff redirection. Maintain workroom and office supply inventory and restocking, including paper and printing materials. Additional administrative duties as assigned.
