Job Overview We are seeking a dynamic and highly organized Office Administrator to join our team! This vital role ensures the smooth operation of daily office functions, providing exceptional support to staff, clients, and visitors alike. The ideal candidate will be energetic, detail-oriented, and possess a strong background in office management, clerical tasks, and customer service. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth Operate multi-line phone systems, handle inquiries, and provide excellent customer support with courteous phone etiquette Maintain accurate data entry records using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and administrative tasks Organize and file documents systematically, ensuring easy retrieval and compliance with company policies Schedule appointments, coordinate calendar management for staff, and assist with personal assistant duties as needed Create Lead Sheet for sales dept staff from incoming new calls. Skills Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent organizational skills with the ability to multitask effectively Proven experience in office management or administrative roles with a focus on customer service excellence Bilingual abilities are highly desirable to assist diverse client needs Familiarity with QuickBooks for bookkeeping purposes and basic office accounting tasks Exceptional phone etiquette skills combined with experience managing multi-line phone systems Strong typing skills along with attention to detail for proofreading and data entry accuracy Knowledge of construction industry AIA docs etc. is a plus but not required; relevant experience in commercial construction settings is advantageous Ability to demonstrate excellent time management skills while handling multiple priorities efficiently Join us as an Office Administrator to be at the heart of our operations!
