Bilingual (English & Spanish) is a plus Job Title: Office Administrator Reports To: Senior Vice President Location: In-office, Spring, TX Prepared Date: May 2026 Overall Description Seeking a reliable, detail-oriented Office Administrator to support daily office functions and provide administrative support to ownership and staff. This full-time, in-office role is ideal for a professional who is organized, proactive, and comfortable handling a wide variety of administrative and clerical responsibilities in a fast-paced environment. Administrative & Executive Support Provide administrative support to ownership and office staff. Maintain the President’s calendar and assist with scheduling and coordination. Assist ownership with occasional personal administrative matters as requested. Draft and manage external communications, including letters, emails, and reports. Office Administration & Front Office Support Answer and direct multi-line phone calls and document accurate messages. Greet visitors and tenants in a professional manner. Order and maintain office supplies, groceries, furniture, and décor. Monitor office equipment and coordinate service and maintenance as needed. Coordinate office cleaning services and vendor scheduling. Document & Records Management File, scan, copy, shred, and organize physical and digital documents. Perform data entry, including updating databases, invoice information, tenant records, and digital filing systems. Maintain vendor agreements and track renewal dates. Retain and organize property and tenant insurance documentation. Create and maintain emergency property binders. Manage paper tenant folders and archive former tenant records. Property & Operational Support Provide administrative support related to property operations, including work orders and tenant communications. Receive rent checks and notify appropriate staff of payments received. Enter work orders into Rent Manager and assist with tracking status for property managers. Print, scan, and prepare monthly rent rolls for ownership review. Assist with documentation related to acquisitions, tenant build-outs, and property dispositions. Accounting & Mailing Support Scan, distribute, and file invoices for processing by accounting staff. Upload, email, and mail budget letters and NNN reconciliations to tenants. Prepare certified mail and overnight shipping as required. Maintain organized records of paid bills. Marketing & Communications Support Assist with creating and maintaining marketing materials for properties. Update the company website with current property photos and listings as directed. Support preparation and distribution of customer statements and property communications. Required Knowledge, Skills & Abilities Minimum 5–6 years of professional office or administrative experience. High school diploma required; college coursework preferred. Proficiency in Microsoft Word, Excel, Outlook, and general office systems. Strong written and verbal communication skills. Excellent organizational skills and attention to detail. Ability to manage multiple tasks and meet deadlines. Professional demeanor and strong interpersonal skills. Comfortable interacting with tenants, vendors, staff, and ownership. Ability to maintain strict confidentiality. Notary license preferred. Work Environment 100% office-based role in Spring, TX.
