Description Office Assistant 3 WA State Penitentiary Walla Walla, WA Monthly Salary range:$3,936 - $5,213 The Department of Corrections is seeking a highly motivated and qualified Office Assistant 3 for the Washington State Penitentiary located in Walla Walla, WA.The Office Assistant 3 position supports the mission of the Department of Corrections (DOC), Health Services Division as follows:We work with all DOC staff for safer communities, to improve public safety by providing medically necessary and individualized care that promotes wellness.We meet the basic needs of the incarcerated individuals by providing healthcare which aims to increase incarcerated individual safety and decrease recidivism, thereby promoting positive changes in incarcerated individuals.Under the direct supervision of the Health Services Manager 2, this position provides confidential administrative support by independently prioritizing and coordinating office operations and work assignments of projects assigned to the Health Services Unit to meet internal and external deadlines.The Incumbent in this position is instrumental and has a vital role in the operations withing health services.Application assessment will be ongoing, and the hiring authority reserves the right to offer the position at any time during the recruitment process.It is to the applicant's advantage to apply as early as possible.This recruitment could be used to fill multiple permanent or non-permanent positions. Duties Kites, Grievance, and external stakeholder (OCO, DRW, Etc.) Tracking Ensure Kites, Grievance, and external stakeholder communications are accurately logged, responded to timely and filed if appropriate for HS staff.Review kites and grievances for completeness, accuracy, signatures.Follow up with health services staff when document is incomplete.Provide on the spot instructions to bring document into compliance.Ensure documents are formatted correctly.Use of OMNI system to research and maintain accurate health record integrity.Maintain consistency and accessibility of kites and grievances in accordance with federal and state statutes, regulatory standards, DOC policy directives, operational memoranda, and health services department procedures.Assist with Nursing Scheduling Under the direction of the nursing supervisors, AA3, RN4 and/or RN3's, assists with maintaining the nursing schedule to ensure adequate coverage at all three clinics.During business hours, receive call-offs from nursing staff.To include following the call-off procedure using the Overtime Check List sheet.Complete OT Check List Ensure accuracy of posting Nursing schedule.Clerical Support Perform projects and other clerical support as delegated by the RN4 and AA3 as requested by other Health Services managers or supervisors by providing administrative services and general assistance to facilitate their work and relieve them of secretarial details.Compose office correspondence such as requests for documentation and response to requests for information.Assist with setting up meetings and maintaining conference room schedule and amin staff wall calendar Assist in taking meeting minutes Create/update Logbooks for various departments in health services Assist other Health Services staff as needed.Use best judgement to resolve any scheduling conflicts.Plan and organize daily workflow in coordination with supervisor and coworkers in order to meet deadlines and the needs of health services staff.Other duties as assigned Including but not limited to, other duties as assigned by direct supervisor, RN4 or HSM's.Attend and assist with monthly meetings for Place Safety/Tabletop Drills and complete annual in-service training.Assist with supply ordering Qualifications Required qualifications:Ability to type a minimum of 40 words per minute.Intermediate word processing and spreadsheet skills.Two (2) years clerical experience.Handle stressful environments:Adapt to and positively handle the stress of a high-paced work environment.Multi-Task:Ability to multi-task, prioritize and complete work assignments in a fast paced, detail-oriented environment.Share information appropriately:Maintain confidentiality of information learned through position that is protected by Department of Corrections policy, federal and/or State law.Keep supervisor informed of need-to-know items; share complete and accurate information.Policies & procedures:Know, understand, and consistently demonstrate ability to follow all applicable agency policies, procedures, and guidelines related to custody and security.Stay current as policies and procedures change.Team player:Demonstrate the team approach to providing excellent customer service.Communicate effectively both internally and externally.Promote inclusiveness.Foster a positive attitude:Demonstrate openness toward the ever changing social and cultural makeup of the workplace.Work effectively with men and women of different perspectives, abilities, disabiliti
