Office Assistant Manager Job Description Employment Type: Full-Time Reports To: Office Manager / Owner Position Summary We are seeking a highly organized, dependable, and proactive Office Assistant Manager to join our fast-paced small office environment. The ideal candidate must be able to multitask efficiently, assisting with HR-related duties, handle employee and customer concerns professionally, maintaining office efficiency, and support daily office operations with minimal supervision. This position requires strong communication skills, problem-solving abilities, and the ability to prioritize multiple responsibilities throughout the day. Key Responsibilities Office Operations Manage and support daily office operations in a fast-paced environment Handle incoming calls, emails, scheduling, and general office communications Maintain office organization, document management, workflow efficiency and other administrative tasks Assist management with day-to-day operational needs Human Resources Support Assist with hiring, onboarding, and new employee training Maintain employee files, attendance records, and scheduling Support company policies, procedures, and workplace expectations Assist with employee coaching, documentation, and follow-up Maintain confidentiality regarding employee information and company matters Employee Relations & Conflict Resolution Address employee concerns professionally and promptly Help resolve workplace conflicts and communication issues Promote a positive, respectful, and team-oriented work environment Escalate serious concerns to management when necessary Customer Service Excellent phone etiquette and strong verbal communication skills Ability to manage heavy incoming phone volume in a fast-paced office environment Professional and courteous communication with customers and employees Provide customer support by addressing inquiries, and ensuring excellent service standards Strong customer service skills with the ability to resolve issues calmly, professionally, and efficiently Follow up with customers to ensure satisfaction and maintain positive relationships Qualifications Previous administrative, office management, or supervisory experience preferred Strong multitasking and organizational skills Ability to work efficiently under pressure in a busy office setting Excellent verbal and written communication skills Proficiency with Microsoft Office, email systems, and general office software Ability to prioritize tasks and adapt to changing needs Minimum of an AA degree or comparable administrative/management experience required Desired Traits Self-motivated and dependable Detail-oriented with strong follow-through Positive attitude and professional demeanor Team player with leadership abilities Able to handle multiple tasks and interruptions throughout the day Bilingual Spanish a plus This is a position for an individual interested in long-term employment with the potential to become full-time.
