Job Description
Position Summary We are seeking a highly organized and detail-oriented Office Manager to oversee daily administrative operations within a fast-paced food distribution environment, with a strong focus on accounting processes. This role ensures efficient office management, accurate financial tracking, and seamless coordination between departments including sales, warehouse, and logistics. Key Responsibilities Office Management: Oversee day-to-day office operations to ensure efficiency and productivity Manage administrative staff, schedules, and workflow Maintain office supplies, vendor relationships, and service contracts Develop and implement office policies and procedures Accounting & Financial Oversight Supervise accounts payable and accounts receivable processes Reconcile bank statements and monitor cash flow Prepare financial reports, budgets, and forecasts Ensure accurate invoicing, billing, and collections Coordinate with external accountants or auditors as needed Maintain compliance with financial regulations and internal controls Food Distribution Coordination Collaborate with warehouse and logistics teams to align administrative and financial processes Track inventory-related financial data and reporting Support order processing, billing, and delivery documentation Compliance & Documentation Ensure proper recordkeeping of financial and operational documents Assist with regulatory compliance related to food distribution and financial reporting Maintain confidentiality of sensitive financial information Qualifications Bachelor's degree in Business Administration, Accounting, or related field preferred 3-5+ years of office management experience, preferably in food distribution or logistics Strong accounting knowledge (AP/AR, reconciliation, reporting) Proficiency in accounting software (e.g., QuickBooks, Sage, or similar) and Microsoft Office Suite Excellent organizational, leadership, and communication skills Ability to multitask and thrive in a fast-paced environment Pay: Up to $75,000.00 per year Benefits 401(k) 401(k) matching Dental insurance Employee discount Health insurance Life insurance Paid time off Vision insurance Education High school or equivalent (Preferred) Experience Office management: 2 years (Preferred) Accounting: 2 years (Preferred) Work Location: In person
