Cabinets Plus is a long-established residential remodeling company specializing in kitchen and bathroom projects in the northwest suburbs of Chicago. We are growing, updating our systems, and investing in the operational structure needed to support the next chapter of the business. We are looking for a highly organized Office Manager & Project Coordinator to help keep the business running smoothly day to day. This role sits at the center of our office, sales, purchasing, client communication, and project administration workflows. The right person will be detail-oriented, dependable, comfortable with technology, and able to keep multiple moving pieces organized without letting things fall through the cracks. About the Role This is a hands-on office management role, not a passive front desk position. You will help manage the flow of information between clients, vendors, designers, field teams, and management. You will support purchasing, order tracking, project documentation, payment administration, showroom communication, and general office coordination. We are a small, focused team, so your work will have a visible impact on how smoothly the business runs and how clients experience Cabinets Plus. Working Environment This is an in-person position based at our Palatine showroom. You will work closely with the field operations manager and interact regularly with clients, vendors, designers, installers, and ownership. Our showroom is client-facing, so professionalism, warmth, and reliability matter. We value people who take ownership, communicate clearly, and care about getting the details right. Schedule Full-time preferred, though part-time may be considered for a highly qualified candidate. Saturday showroom support is required, generally 10:00 AM to 3:00 PM, because Saturdays are one of our busiest client-facing days. Weekday schedule can be discussed based on full-time or part-time arrangement. Saturday Showroom Support Saturdays are an important showroom day for Cabinets Plus. While this is not a sales role, the Office Manager & Project Coordinator helps create a strong client experience when the showroom is busy. On Saturdays, you may greet walk-in clients, make sure visitors feel welcomed, gather basic contact and project information, answer general questions, and help the designer manage multiple showroom visitors at once. The goal is to give each client a professional, attentive experience and allow the designer time to focus on consultations and project-specific conversations. What You’ll Do Front Office & Client Communication Answer phones, greet showroom visitors, and manage incoming communications Create a professional and welcoming first impression for clients Route inquiries to the appropriate team member and follow up as needed Help maintain a clean, organized, and client-ready showroom environment Support appointment scheduling and general office coordination Saturday Showroom & Client Experience Support Greet showroom visitors and make them feel welcomed Gather basic client information and project needs before connecting them with a designer Help manage showroom flow when multiple visitors arrive at once Answer general questions and set expectations without needing to sell or design Support the designer by keeping clients engaged and informed during busy periods Maintain a polished, organized, client-ready showroom environment Purchasing & Order Management Place purchase orders with vendors and suppliers Confirm order details, delivery timelines, and acknowledgments Track order status through delivery Flag missing, delayed, or incorrect items promptly Coordinate with the field operations manager on material timing and job readiness Financial Administration Log vendor invoices into the accounting system Support accounts payable workflows Support client billing by preparing payment requests based on project milestones Record received payments and help keep payment information organized Assist with basic reporting and document tracking as needed Project Administration Help maintain and update the project management system Keep project schedules and job information current Prepare job site packets for field crews, including drawings, specs, delivery information, and relevant documentation Assist with proposal preparation and final client-facing documents Help ensure project information is organized before work begins General Operations Support Help improve administrative workflows as the compan
