Job Overview We are seeking a dynamic and highly organized Office Manager / Bookkeeper to join our team! This vital role combines office management with financial oversight, ensuring smooth daily operations and accurate bookkeeping. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. You will be the backbone of our office environment, managing administrative tasks, supporting staff, and maintaining financial records to keep our business running efficiently. Duties Oversee daily office operations, including front desk management and maintaining a welcoming environment for visitors and staff Answer multi-line phone systems with professionalism, providing exceptional customer service and support Manage calendar scheduling, appointments, and meetings for team members using Google Workspace or Microsoft Office tools Handle data entry, filing, and document proofreading to ensure accuracy and organization across all records Maintain financial records using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations Support clerical tasks such as typing correspondence, managing office supplies, and organizing files Provide customer support by addressing inquiries promptly and courteously in person or via phone/email Skills Proficiency in QuickBooks and Microsoft Office Suite (Word, Excel, Outlook) is essential for bookkeeping and administrative tasks Strong organizational skills with the ability to multitask efficiently in a fast-paced environment Excellent phone etiquette and experience managing multi-line phone systems with professionalism Bilingual abilities are a plus to effectively communicate with diverse clients and team members Prior office management experience combined with clerical expertise in filing, data entry, proofreading, and calendar management Knowledge of Google Workspace applications for collaboration and document sharing Demonstrated customer service skills with a friendly demeanor and problem-solving mindset Strong computer literacy including familiarity with office equipment such as printers, scanners, and fax machines Experience as a dental or medical receptionist or personal assistant is advantageous but not required Effective time management skills to prioritize tasks efficiently while maintaining attention to detail Join us in creating a vibrant office environment where organization meets excellence!
