Job SummaryWe are seeking a dynamic and highly organized Office Manager / Bookkeeper to lead our administrative operations and financial record-keeping.In this vital role, you will oversee daily office functions, manage bookkeeping tasks, coordinate vendor relationships, and support team management initiatives.Your proactive approach will ensure a smooth-running office environment while maintaining accurate financial records, enabling our organization to operate efficiently and effectively.This position offers an exciting opportunity for a motivated professional to contribute to a thriving team with diverse responsibilities.Responsibilities Manage day-to-day office operations, including front desk duties, filing systems, and multi-line phone systems to ensure seamless communication and organization.Oversee scheduling management for staff, meetings, events, and appointments to optimize productivity.Handle bookkeeping responsibilities using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations.Maintain accurate financial records through diligent bookkeeping and assist with budgeting processes to support organizational planning.Supervise administrative staff and coordinate training & development initiatives to foster a high-performing team environment.Manage vendor relationships by negotiating contracts, processing payments, and ensuring timely delivery of supplies and services.Support human resources functions such as payroll processing, employee onboarding, record keeping, and compliance with HR policies.Assist with event planning for organizational functions or community outreach efforts to promote engagement and visibility.Ensure efficient calendar management for leadership and team members while maintaining effective communication across departments.Uphold office policies related to phone etiquette, confidentiality, filing procedures, and overall administrative standards.Qualifications Proven experience in office management or administrative roles within a professional setting; prior medical office management experience is a plus.Demonstrated bookkeeping skills with proficiency in QuickBooks or comparable accounting software.Strong supervisory experience with the ability to lead teams effectively and foster professional development.Excellent organizational skills with keen attention to detail in filing, scheduling, and record keeping.Effective communication skills--both verbal and written--to liaise confidently with vendors, staff, and clients.Knowledge of human resources practices including payroll processing, employee onboarding, and HR compliance requirements.Experience managing vendor relationships and negotiating contracts for supplies or services.Ability to handle multiple priorities efficiently in a fast-paced environment while maintaining professionalism.Familiarity with office technology such as multi-line phone systems, calendar management tools, and basic clerical equipment is essential.Join us as an Office Manager / Bookkeeper if you're energized by streamlining operations, managing finances accurately, supervising teams effectively, and creating an organized workplace that supports our mission!
