Duties Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Oversee office management tasks such as filing, data entry, and maintaining organized records using tools like Microsoft Office and Google Workspace Coordinate calendar management and scheduling for meetings, appointments, and personal assistant needs Handle clerical responsibilities including proofreading documents, managing correspondence, and supporting bookkeeping activities with QuickBooks or similar software Ensure smooth office operations by supervising office supplies inventory, overseeing maintenance requests, and managing vendor relationships Provide exceptional customer service by supporting clients and visitors with professionalism and efficiency Support administrative functions such as data entry, filing systems, and supporting team members with personal assistance when needed Qualifications Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic computer literacy Experience with QuickBooks or similar bookkeeping software is preferred Excellent communication skills, including phone etiquette and customer support experience Bilingual abilities are a plus to serve diverse client needs effectively Prior experience in medical or dental receptionist roles is advantageous Strong time management skills with the ability to prioritize tasks efficiently Clerical experience involving data entry, proofreading, filing, and calendar management Knowledge of multi-line phone systems and office equipment operation Personal assistant or medical receptionist experience is desirable for supporting executive needs Join us to be part of a vibrant team committed to operational excellence!
