Job Description
Office Manager / Executive Assistant in Northwest Houston Our client, a significant foreign (English speaking) company, seeks an Office Manager / Executive Assistant for their soon-to-open office along Beltway 8 in Northwest Houston. This is a high-impact position responsible for keeping the office running smoothly while supporting two Houston-based Company Executives. The office is small (less than fifteen people) in Class A office space. The Company is at an inflection point in its growth such that opening the new Houston office is of critical importance, and this person (“the Manager”) will play a key role in the success of the Houston office. The Manager will be a “jack of all trades,” balancing various administrative operations and executive-level support. Initially, this will be a “work from home” position, as the office has not yet opened. Starting in July 2026, it will be a hybrid role – the expectation will be at least two days per week in the office, and possibly more. The Job Leadership / Administration The Manager will be recognized as the central point of contact for the Houston office Purchasing – supplies and services needed for the office Assist HR with onboarding and offboarding processes Learn, internalize and live out the Company’s values The office will not have a Receptionist, and the Manager will not be the Receptionist. That said, on occasion there will be visitors, and the Manager will welcome them and escort them to the right place or person The Manager may interact with visiting executives and other key stakeholders whose goodwill and respect are critical to the organization Liaison with building management Liaison with home office HR, purchasing, IT and accounting The Manager will coordinate various office events, such as the annual Christmas dinner Maintain the office directory Assisting two Executives The Manager will coordinate domestic and international travel arrangements, manage travel logistics, and accommodate individual preferences The Manager will plan and coordinate certain meetings, conference calls, lunches and dinners, and will send out and track calendar invitations and reminders The Manager may be asked to perform preliminary research on a company, person or issue The Manager will handle certain tasks such as printing, copying and mailing, as requested to do so by the Executives The Manager will assist in communications as required Travel It is not expected that the Manager will have to travel. Desired background and qualifications A Bachelor’s degree is required A stable employment history (three or more years per employer) is required Must reside in or within twelve miles of Houston zip code 77040 Prefer five or more years of full-time experience as an Office Manager, Executive Assistant or in a similar administrative role Reasonable Excel and PowerPoint skills Has a strong eye for detail and good proofreading skills Has an ability to solve day-to-day problems Able to prioritize appropriately Able to multitask Has a proactive mindset Has a “no surprises” communication philosophy Good email skills Has proven “calendaring” skills. Able to use Zoom and/or Teams effectively Able to use AI when appropriate Excellent in-person interpersonal skills Excellent writing skills Positive and pleasant Highly professional presence Olsen Day Executive Search has been engaged to fill this position.
