Job Overview We are seeking a dynamic and highly organized Office Manager to oversee daily office operations and ensure a smooth, efficient work environment. This role is vital in coordinating administrative functions, managing front desk activities, and supporting team members with exceptional customer service. The ideal candidate will bring a proactive attitude, strong organizational skills, and a passion for creating a welcoming and productive office atmosphere. As an Office Manager, you will play a key role in maintaining office systems, managing communication channels, and supporting overall business operations to help our team thrive. Daily hours vary depending on the practitioner schedule, but generally you will not be needed any earlier than 10am, nor will you finish later than 7:30pm on any given day. Duties Greet visitors, manage the front desk, and handle multi-line phone systems with professionalism and courtesy. Maintain office supplies inventory, place orders as needed, and ensure the office remains well-stocked and organized. Manage calendar appointments, schedule meetings, and coordinate practitioner schedules using AcuBliss and Google Workspace tools. Perform data entry, filing, proofreading, and document management to support administrative workflows. Provide exceptional customer support via phone, email, or in person while maintaining excellent phone etiquette. Support clerical tasks such as typing correspondence, managing incoming/outgoing mail, and maintaining accurate records. Assist with personal assistant duties including calendar management for executives or team members when needed. Ensure compliance with office policies and procedures while fostering a positive work environment. Experience Proven experience in office management or administrative roles with strong organizational skills. Demonstrated proficiency in patient EHR software and Google Workspace applications. Experience handling multi-line phone systems, front desk responsibilities, and customer service interactions. Knowledge of medical or dental receptionist duties is a plus but not required; relevant experience will be considered. Familiarity with acupuncture is preferred but not required. Prior clerical experience including data entry, filing, proofreading, and schedule management is essential. Strong computer literacy combined with excellent time management skills to prioritize tasks effectively.
