Status: Full-Time Carrington Coleman Sloman & Blumenthal, LLP (CCSB) is a Dallas-based law firm recognized for its commitment to excellence, collaboration, and exceptional client service. We are seeking a skilled and motivated Office Support Specialist to join our team. Under general supervision and in accordance with established policies and procedures, this role supports the Office Services Manager in overseeing daily mailroom operations and coordinating the timely completion of service requests. The Office Support Specialist plays a key role in maintaining efficient office operations while upholding the highest standards of confidentiality for all client and firm matters. Essential Functions – Office Support Specialist Manage high-volume copying, scanning, and reprographic requests, effectively prioritizing tasks to meet deadlines. Support large-scale document production and time-sensitive projects while ensuring accuracy, quality, and consistency of all materials. Assist with office moves, workspace setups, and reconfigurations to support operational needs. Process incoming and outgoing mail, including sorting and distributing deliveries, and coordinating courier and overnight shipments. Coordinate and complete service requests from attorneys and staff, including special projects such as office setups, package deliveries, and file relocations. Maintain and restock office supply areas across the firm, ensuring consistent availability of materials. Support firm events, meetings, and departmental projects, including setup and breakdown as needed. Identify and communicate facility maintenance needs to the Office Services Manager in a timely manner. Maintain satellite copier and workroom areas, including cleaning, organizing, and restocking equipment and supplies. Manage daily office services tasks and respond to service requests received via email or internal systems, including file and box moves. Provide responsive, hands-on support to attorneys and staff, delivering a high level of customer service for day-to-day operational needs. Serve as backup support for reception and hospitality functions as needed. Coordinate with external vendors for deliveries, maintenance, and service-related needs. Maintain strict confidentiality of firm documents, materials, and information. Perform court runs or coordinate delivery services for filings and other time-sensitive materials as needed. KNOWLEDGE, SKILLS AND ABILITIES REQUIRED: Ability to perform office services functions in a law firm environment, typically acquired through a high school diploma or equivalent experience. Working knowledge of shipping, receiving, and applicable postal and courier regulations. Proficiency in operating copy machines, scanners, and other reprographic equipment. Prior experience in an Office Services or Copy Center role within a law firm or professional services environment preferred. Strong organizational skills with the ability to manage and prioritize multiple tasks effectively under time constraints. Excellent interpersonal and communication skills, with the ability to interact professionally and courteously with attorneys, staff, and external vendors in person, by phone, and in writing. Ability to perform work that may require sustained focus and attention to detail, particularly when managing competing priorities. Physical ability to lift, carry, and distribute boxes, supplies, and documents weighing up to 75 pounds, and to retrieve and store items on shelves up to eight feet high. Flexibility to work additional hours as needed to meet business demands and fulfill the essential functions of the role.
