Job Description
OverviewWe are seeking a highly organized, detail-oriented, and proactive individual to serve as a Part-Time Operations Administrative Coordinator.This critical support role helps ensure the department's daily operational readiness by coordinating shift staffing, facilitating training opportunities, managing special event logistics, and providing administrative support to Command Staff.The ideal candidate thrives in a fast-paced environment, communicates effectively with personnel at all levels, and maintains the highest standards of professionalism and confidentiality.Responsibilities 1.Shift Staffing Support Coordinate and confirm daily shift staffing at least one week in advance.Collaborate with assigned Shift Officers to fill vacancies and adjust schedules as operational needs change.Maintain accurate, up-to-date staffing records.Ensure proper documentation within scheduling systems.2.Training Coordination Assist in identifying training needs and available courses for department personnel.Coordinate enrollment of members in relevant classes with Shift Officers to support career development and certification requirements.Track, document, and maintain records of completed training for compliance and reporting purposes.3.Special Events Management Serve as the primary intake point for all special event requests.Review and evaluate requests for resource requirements, scheduling conflicts, and operational impact.Add approved events to the department calendar and ensure visibility to all affected personnel.Coordinate event logistics with the Chief of Special Events, Command Staff, Shift Officers, and Event Points of Contact (POCs).Ensure events are appropriately staffed and all administrative requirements are completed prior to execution.4.Administrative Support Provide high-level administrative support to Command Staff, including document preparation, data entry, correspondence, and internal communications.Assist in the development and maintenance of standard operating procedures and administrative guidelines.Maintain strict confidentiality, professionalism, and discretion in all communications and documentation.5.Report Management Collect, organize, and distribute operational data from sources including:Fire App reports Response Accountability Tool (RAT) data Other operational reporting systems Ensure timely delivery of accurate reports to Command Staff and relevant stakeholders.Assist with data analysis and presentation to support planning, decision-making and accountability.Qualifications Strong organizational, time-management, and communication skills.Ability to manage multiple priorities in a fast-paced operational environment.Proficiency with administrative software, scheduling platforms, and reporting tools.Familiarity with fire department operations and staffing practices preferred.Ability to maintain professionalism, discretion, and attention to detail.Pay:$24.00 - $30.00 per hour Work Location:Hybrid remote in Rockville, MD 20850.
