Operations and Adoption Coordinator Position Overview As the Operations and Adoption Coordinator at The Milo Foundation, you play a critical role in supporting daily rescue operations, coordinating successful animal placements, and ensuring exceptional experiences for adopters, fosters, volunteers, and team members. This multifaceted role requires flexibility, strong communication, problem-solving, and a collaborative mindset to help animals find safe and loving homes while supporting the evolving needs of a fast-paced nonprofit rescue organization. Key Responsibilities Adoption & Foster Counseling Screen adoption and foster applications thoroughly to assess compatibility between applicants and animals. Match animals with adopters based on temperament, lifestyle, home environment, and ability to meet the animal’s ongoing needs. Conduct thoughtful, compassionate counseling conversations to support informed decision-making and responsible pet ownership. Navigate challenging conversations professionally, including communicating when an adoption or foster placement is not the right fit while preserving positive relationships. Seek creative, solutions-focused alternatives whenever possible. Provide follow-up support to adopters and fosters. Animal Advocacy & Collaboration Partner closely with the Animal Care teams to understand each animal’s behavior, medical needs, and personality. Create and maintain accurate animal biographies and adoption profiles. Advocate for the best interests of each animal. Support introductions and facilitate positive meet-and-greets. Administrative & Recordkeeping Duties Process agreements, intake records, payments, and documentation accurately. Manage communication with adopters, fosters, donors, and internal teams. Customer Service & Front Desk Support Welcome visitors and represent The Milo Foundation professionally. Respond to inquiries by phone, email, and in person. Educate the public on responsible pet ownership and rescue work. Maintain a clean and organized front office and adoption area. Teamwork & Organizational Support Collaborate with staff, volunteers, fosters, and leadership. Communicate proactively across departments. Assist with volunteer direction and foster a positive team environment. Support social media and marketing efforts. Coordinate and prepare for remote adoption events, including animal selection, supplies, transportation, paperwork, and updated profiles. Assist with adoption event follow-up, including adopter communication and record updates. Support planning, organization, and follow-up of SNIP (Spay/Neuter Incentive Program) events, including scheduling, participant communication, and documentation. Collaborate with internal teams and external partners to ensure adoption and SNIP events run smoothly. Identify process improvements and implement operational efficiencies. Assist with additional operational needs such as animal transportation, donation organization, facility support, or special projects. Required Skills & Experience Passion for animal welfare and commitment to responsible placement practices. Strong verbal and written communication skills. Ability to confidently manage sensitive conversations and communicate difficult decisions. Strong problem-solving skills and adaptability in a fast-changing environment. Minimum 1 year of customer service experience required. Minimum 1 year of administrative or clerical experience preferred. Experience working with a non profit business Experience working with dogs and cats, including animals with behavioral or medical needs. Familiarity with Microsoft Office and databases. Valid driver’s license and reliable personal transportation. Availability to work weekends, including Saturdays and Sundays.
