Position Overview:The Operations Assistant at Collaborative Solutions Corporation (CSC) supports our Intensive Recovery Residences by supporting our staff.The individual who will succeed in this position is responsible for providing a broad range of administrative support for the organization, primarily with responsibility for enhancing the efficiency and effectiveness of CSC's operational capabilities.This includes administrative support for the organization as directed based on organizational need, ensuring CSC presents a friendly and professional impression to external and internal customers at all times, utilization of software to accomplish administrative tasks, and attention to the confidentiality of both client and employee information.This position is a non-exempt position, with a schedule of Monday to Friday from 8:00 am to 4:00 pm, and reports to the Operations Manager.Primary Responsibilities:(But not limited to) Provide a wide variety of administrative support services to the Operations Manager and other directors in CSC as requested.Requiring familiarity with word processing, transcription, spreadsheets, and other computer applications.Greet and direct visitors at/to the Administrative Building Answer incoming phone calls and direct them to the appropriate facility & person, taking messages as needed.Receive and prepare invoices for review and signature.Reconcile credit card receipts and help track receipts for accounting.Receive, assign, and monitor work requests in the CMMS system.Prepare for various meetings or training that may require room set-up, refreshments, etc.Maintain inventory of consumable products/items that are routinely used by programs.Develop and maintain an inventory distribution and accounting system, preferably in the CMMS, for consumable products and items enabling predictive supply distribution to programs.Request, receive, and maintain copies of 1099s and insurance binders for all contractors working on CSC owned properties.Collect and Audit receipts for Petty Case Cards and do the tracking; turn the receipts into accounting.Under the direction of Operations Manager, order, receive, inventory, and distribute supplies such as PPE, Office Supplies, Etc.Create and maintain office supply inventory control program for all sites.Collect all mail and distribute to the addressed recipient and prepare delivery mail for recipients at various facilities.Support Maintenance as needed.Perform routine expenditure audits and reports based on guidance from Operations Manager.Perform tasks and projects for other team leaders as requested, schedule permitting.Other duties as assigned.Minimum Qualifications:A High School Diploma/GED with a minimum of two years of administrative experience.Associate's or Bachelor's degree in a business-related field preferred.Must have excellent human relations skills, including outstanding telephone etiquette and face-to-face communication skills.High-level organizational abilities.Excellent keyboarding and other computer skills, including Microsoft Word and Excel.Ability to work in a fast-paced environment and deal effectively with crisis situations.A valid driver's license, excellent driving record, and safe, insured vehicle are also required.Environmental Conditions Normal office conditions prevail.Sitting or standing for prolonged periods of time.Work at a word/data processing terminal or similar equipment will be required.Potential eyestrain associated with video display terminal.Stress is a factor, as this job involves significant importance, accuracy, and exposure to stressful situations.There will be occasional travel outside the office setting, for which private means of transportation must be available.We are strongly committed to our mission:To create caring communities where people seeking mental health find hope, compassion, and excellent clinical care.
