What You’ll Do As an Operations Assistant, you’ll play a vital role in keeping our Nashville office running smoothly by supporting key functions across Operations, Digital Production, Guest Services, Supplies/Purchasing, and Safety/Security. This is a hands-on, highly visible position that requires initiative, adaptability, and sound judgment, with opportunities to collaborate across teams and deliver exceptional service to attorneys, staff, and clients. Digital Production & Print Operations – Manage digital service job tickets, perform complex print and processing tasks, and operate production printers, scanners, and copiers while ensuring accurate daily billing and file conversions. Facilities Support & Office Operations – Perform general maintenance and repairs, coordinate office moves, and set up workspaces, conference rooms, and new hire stations to support a seamless workplace experience. Mailroom & Logistics Coordination – Track and manage courier deliveries, process incoming and outgoing mail, handle specialized packaging requests, and ensure accurate routing of all items. Guest Experience & Front Desk Support – Deliver a welcoming, professional experience by greeting guests, managing building access, issuing temporary credentials, and coordinating conference room reservations through the Event Management System. Safety & Security Coordination – Partner with the Physical Security team to support emergency preparedness efforts, including training sessions and life safety drills. Property Management Liaison – Collaborate with building management and internal teams to resolve facility-related requests and maintain an efficient work environment. Customer Service Excellence – Monitor shared inboxes, respond to requests, and coordinate internal and external resources to deliver timely, high-quality service. Reporting & Continuous Improvement – Provide regular updates and reports, stay informed on industry trends, and support ongoing operational improvements. What You’ll Bring Education – Bachelor’s degree preferred, or equivalent hands-on experience. Experience – At least 3 years of experience in Operations or Digital Production, ideally within a combined mailroom and print environment. Operational Expertise – Strong knowledge of mailroom logistics, print production processes, and facilities support. Adaptability & Reliability – Ability to manage shifting priorities, flexible schedules, and occasional overtime in a dynamic environment. Customer Focus – Proven track record of delivering exceptional service with measurable impact. Relationship Building – Strong interpersonal skills with the ability to collaborate effectively across teams and with legal professionals. Communication Skills – Clear and effective written and verbal communication, with the ability to simplify complex information.
