Operations Manager, Park Projects & Design Organization Description: Since 1981, the Golden Gate National Parks Conservancy (Parks Conservancy) has served as the nonprofit partner of the National Park Service, collaborating with the Presidio Trust, partners, donors, and the community to support the Golden Gate National Recreation Area (GGNRA). The GGNRA stretches across three Bay Area counties north and south of the Golden Gate Bridge and includes iconic places such as Muir Woods National Monument, Fort Point National Historic Site, Alcatraz Island, Crissy Field, Mori Point, Lands End, and the Presidio of San Francisco. The Parks Conservancy engages at the intersection of national park sites, local communities, social justice, and climate resilience. Collaborating with partners, our staff are dedicated to enhancing public awareness and providing volunteer and educational opportunities in the parks. Branch/Unit Description: The Park Projects and Design department falls under the Park Projects and Conservation Branch. Staff within the Park Projects and Design department provide planning, project management, and project implementation expertise across a rich portfolio of projects. A few of our past accomplishments include projects at Roy’s Redwoods, Crissy Field, and Forest Resiliency planning. We are excited to progress our current projects, including projects at Muir Woods and Bothin Marsh that have an increased focus on community design, forest resilience, and sea level rise adaptation. Position Overview: This is an exempt, regular position of 40 hours/week. The Operations Manager primarily supports the Park Projects and Design department with (1) contract management and financial administration and (2) administrative, partnership, and project support tasks. The Operations Manager will also support (3) the One Tam Partnership with operations and administrative work. An ideal candidate will have an interest in learning about and supporting a diverse portfolio of park projects and be enthusiastic about the mission of the Parks Conservancy. The candidate should be a clear communicator, competent in working with financial worksheets, want to build and support smooth and efficient operations, able to manage several tasks at one time, be flexible, take initiative, and follow through. This position is based at Fort Mason, San Francisco, but is also expected to work at the San Rafael office several times per month. Work is performed in an office setting, including a mix of telework and on-site in San Francisco and San Rafael. The Conservancy currently requires a minimum of 4 full days per month onsite; however, this position will likely be in the San Francisco or San Rafael office 5-10 times per month and visiting park sites, in order to meet the essential requirements of the position Reports To: Director, Park Projects and Design Essential Functions and Responsibilities: Contract Management and Financial Administration (approx. 30%) Supports Project Manager’s needs while working closely with the Sr. Budget Analyst (Finance Department) to code, track and submit monthly/quarterly invoices Provides contract support to Sr. Budget Analyst Develops knowledge of grant funding and associated contract tracking Performs other duties as assigned in support of branch and organizational priorities. Administrative, partnership, and project support tasks (approx. 50%) Supports project managers with planning and administrative work, including the following: Meetings: Manages scheduling meetings and events (such as partner and internal meetings, retreats, and community events), meeting preparation and logistics (such as creating and putting together materials), and meeting follow up (such as note-taking and tracking next steps). Purchasing and payments: Manages team purchases, payments, reconciliation, and reporting, including managing credit card for team purchases Supplies: Manages procurement and inventory for team supplies Safety and Facilities: Serves as the liaison to Safety and Facilities departments for the Park Projects and Design team, providing critical operational support for projects and partnership coordination. Working with the Safety Director, maintains and updates safety documents, emergency action plans, and first aid supplies. Supports roll-out of safety related trainings, protocols, and procedures. Serves as Safety Committee representative. IT: Serves as liaison with IT Director and SharePoint administrator. Works in conjunction with the IT department to implement software
